The Strategic Sourcing Associateis responsible for normalizing and categorizing University spend data, preparingdetailed analyticalanalysis, systematic reviewing the Vanderbilt supply base for the purpose of identifying areas for supplierrationalization and spend consolidation, and documentingspending trends and savingsopportunities for University leadership. This role preparesdetailed data analysis,reviews the Vanderbiltsupply base to evaluatespending trends andbuying habits, and presentsfindings to CategoryManagers and University leadership.
As a member of the Purchasing and Payment Services Team, the Strategic Sourcing Associate assists in establishing andmaintaining strong, collaborative relationships withVanderbilt's faculty, staff and students andidentifies additional ways to be of service andensure customer satisfaction. This position supports thesuccess of a high-performing organization by helpingto champion and drive the full procure to pay process.
The Purchasing and Payment Services Team (P&PS) serves as the single point of contactfor all centralized supplier information management, procurement, payment, travel and expense, and card activitiesatthe university, setting the overall strategyfor Vanderbilt University'spurchases and payments. As part of the Divisionof Finance, P&PS provides an integrated approach to purchasing goods and services by connecting the procurement function to paymentsissued to suppliers. P&PS includes resources that facilitate sourcing, contracting, ordering and purchaseorder processing, payment of invoices,employee expense reimbursement processing, payment card management and the university's managed travel program.
Key Functionsand Expected Performance
Retrieves necessary data from supply base,Oracle, or other system; validates data for accuracy and completeness.
Analyzes large data sets and purchasing patterns to accurately estimate savings opportunities.
Summarizes the total cost savingsopportunities identified along withcurrent state analysisfindings to developstrategic sourcing business cases.
Benchmarks spend data and purchasing patterns with other Universities.
Identifies and analyzes opportunities to establish contractual relationships with new sourcesof supply for products and services.
Synthesizes data and spend analysis into negotiationstrategy.
SupportsCategory Managersin preparation for suppliernegotiation efforts.
Supportsthe development ofbusiness cases to communicate and gain buy-in for awarddecision.
Analyzes supplier proposals and recommends appropriate next steps toCategory Managerin the iterativenegotiation process.
Reviewsstrategic sourcingmethodology with thebroader procurement team and other University stakeholders, as needed.
Maintains excellent customer relations to ensurethe electronic catalogbuying experience meets the needs of Vanderbilt's facultyandstaff; serves as primary point of contactfor departmental inquiries regarding the electronic catalog and electronic processes (i.e. XML POs, XML invoices).
Conducts routineaudits of pricing and goods offerings of hosted and punch-outsuppliers.
Analyzes universityspend patterns and buying habits to identify andonboard new suppliersfor inclusion in the Aquiirecatalog platform.
Communicates both verbally and in writing to supplierswhen necessary to ensurethat additions and changesto the Aquiireelectronic catalogare accurate and complete.
Documentsand implements policiesand procedures related to eCommerceand electronic catalogmaintenance and assists in the creation and monitoring of auditcontrols
This position does not have regular supervisory responsibility, though it may take lead with a teams of peers both within and across functions on specific projects. This positionreports administratively and functionally to the Directorof Procurement.
A Bachelor's degree froman accredited institutionofhigher education orequivalent experience in Data Science, Purchasing or Accounts Payables and/orequivalent as typicallyachieved in 5 or more years is necessary.
Experience working with electronic catalogshopping platforms (hosted &punch-out catalogs)and ERP systems(e.g. Oracle, PeopleSoft) is necessary.
Experience and Skills

Experience with electronic catalogpurchasing processes, XML, and systemsas well as accounts payableprocesses and terminology knowledge is preferred.
