Job Summary: Under general supervision of the Yellow Cluster Business Operations Manager, serve as the primary point of contact for the Department of Philosophy, Science and Technology Studies (STS), Center for Science & Innovation Studies (CSIS), and Cognitive Science.
Assume independent responsibility for a variety of administrative support and financial services including purchasing, accounts payable, general administration, key custodian, maintaining calendars, travel and entertainment.
Responsible for a wide-range of event planning, including scheduling travel arrangements and honorarium payments for guest speakers, catering and advertising. Safety and space coordinator and facilities manager. Supervise and direct business office student assistants. Provide support to the Chair, Directors, CAO, Business Operations Manager and Office Manager. Back up to the other Yellow Cluster units.
Physical Demands: Maneuver materials weighing up to 25 lbs.
Work Environment: Work occasional overtime including weekends or evenings.
Work at computer terminal for extended periods of time.
Work in a busy office environment with constant interruptions.
Restricted use of vacation during peak work periods.

Minimum Qualifications: -Experience using an automated accounting system to process a variety of purchasing and accounts payable documents.
-Experience recognizing, identifying, and responding to problems/errors with reimbursements, invoices, and financial transactions.
-Experience reviewing, interpreting and applying travel and entertainment policies and procedures.
-Experience applying analytical skills to compare data to draw conclusions, and develop goals/plans for resolutions and implementation of best business management practices.
- Administrative support experience in a professional, front office environment.
-Experience with event planning and program workshops, conferences, or meetings: arranging for venue, a/v needs, travel/lodging arrangements, meeting materials and presentations.
-Experience working with committees and individuals at all levels on event/project design and goals, and implementation logistics.
- Computer skills to utilize various programs and software for word-processing, spreadsheets, and website applications.
-Knowledge of administrative and business policies and procedures affecting programs, business activities, and confidentiality of records and information.
-Experience using writing, editing and proofreading skills to prepare correspondence, reports, e-mail, web page content, and policy and procedure interpretation.
Preferred Qualifications: - Customer service experience in a higher-education environment.
-Knowledge of University policy and procedure related to accounting, purchasing, and travel processing.
-Experience using Kuali, Decision Support and MyTravel.
-Skills to understand, interpret, and apply federal/state/university rules, regulations, and policies in a research and instructional environment.
-Interpersonal and communication skills to effectively communicate and interact in a professional and collaborative manner.
-Organizational and time management skills to achieve timely progress on multiple simultaneous tasks, meet deadlines, and maintain a high-level of quality with attention to detail.
-Skill to analyze impact of actions and exercise independent judgment in determining proper responses, referrals or consultations.
