DEPARTMENT: Office of Academic Affairs SUPERVISOR: Assistant Vice President for Academic Affairs HOURS: Full time 9a.m. - 5p.m. Monday through Friday GRADE/SALARY RANGE: 4
GENERAL PURPOSE The Academic Planning Specialist provides the administrative and academic support services needed to contribute to the effective management of the College's academic programs. This position requires attention to detail and the ability to critically analyze the logistical needs of the Academic Affairs area of the College.
ESSENTIAL DUTIES AND RESPONSIBILITIES Academic Planning Specialist is accountable for providing useful administrative support to the Office of Academic Affairs in planning and communicating information relevant to Academic Affairs. This accountability includes such essential tasks as: a. Assist in the optimization of academic space
b. Editing and drafting documents associated with Office of Academic Affairs (e.g. course offerings, workload, etc.)
c. Preparing and maintaining data regarding communication and issues relevant to the Office of Academic Affairs
d. Developing and editing informational and procedural documents
Course Administration: The Academic Planning Specialist is accountable for contributing to successful administration of the College's academic programs and courses. This accountability includes such essential tasks as: a. Assisting in monitoring scheduling and academic course offerings
b. Assisting in researching enrollment and population trends to assess demands for the college's course offerings
c. Assisting in review and retention of instructional materials such as course outlines, course materials and instructional practice materials
d. Retaining complete records on instructional space and technology available in that space
e. Collaborating with the Coordinator of Academic Planning and Resources in course and room scheduling
Business Administration: The Academic Planning Specialist is accountable for contributing to the effective operation of the Office of Academic Affairs. This accountability includes such essential tasks as:
a. Performing and participating in administrative services for instructional services including such tasks as preparing schedules and materials
b. Communicating with the Office of Enrollment and the Registrar regarding the business of the Office of Academic Affairs
DESIRED MINIMUM QUALIFICATIONS
1 - 3 years of experience
TOOLS AND EQUIPMENT USED Desktop computer, including spreadsheet and word processing software; copy machine; fax machine, printers, and scanners.
