The study needs a clerk/receptionist who is bilingual (Spanish/English) with excellent computer, customer service and organizational skills. Person is to be flexible with days and hours to be immediate fill in during high volume days or when no staff due to jury duty, vacation, diability, etc. Responsiblities include, but are not limited to: 1. Greet, assist and register patients into database; generate various required reports; prepares/distributes forms, cash incentives, labels, packets, mailings; scheduling and confirming appointments. 2. Handling telephone lines; filing charts, ordering taxi's, lunches etc.; patient chart preparation and filing; maintain office supplies and equipment. 3. Assist with various issues (inventory, disbursing office supplies, recording, data entry, calendar, schedules, etc.) 4. Print and screen forms (alert clinical staff); follow research practices. 5. Interact with clinical, recruitment and follow up staff to assure accurate patient flow. 6. Assist to participant's needs, etc. 7. Perform other related duties as assigned.
The Administrative Assistant I provides administrative support to a department or individual as required.
List of Responsibilities
Must fulfill duties of all previous grades;
Answer telephones and provides appropriate information to callers, take messages and transfers calls; schedule appointments and meetings and maintain calendars;
Assist in coordination of conferences and special events. Activities may include preparing the agenda, arranging meeting facilities, making travel arrangements, and handling supplies and refreshments, as needed;
Prepare routine correspondence as directed;
Assist with databases and information related to budgets
Prepare data for general reports with thorough instructions, e.g., purchases and other reports as required
May utilize computer based programs to prepare, submit and track requisitions, check requests, reimbursement forms, work orders, etc.;
Reads and routes all mail; Maintain general files;
Take meeting minutes and notes;
Order supplies as needed;
Perform other related duties as assigned.
HOURS OF POSITION: 7am-3:30 PM
