The College of Education and Human Ecology (EHE) at The Ohio State University is looking for a Student Services – Program Assistant to provide a high level of administrative and program-level coordination, support, and customer service for the Office of Student Services in the Department of Educational Studies.

About the Office of Student Services
The Department of Educational Studies has 13 programs, 5 degrees, along with licensure and endorsement opportunities with over 500 graduate students. The Office of Student Services and Graduate Studies (SSGS) supports the needs of faculty, staff, and students within the Department of Educational Studies, the College of Education and Human Ecology, as well as across the university. SSGS often collaborates with the Department and Associate Chair's office to assist with initiatives that are implemented to improve processes within the department. The office provides information regarding recruitment and admissions, registration, graduation, transfer of graduate programs, advising, and understanding policy and procedures that are outlined by the department and the Graduate School. The staff utilizes best practices in making sure they are the most efficient and effective in the services that they provide.
The Student Services Program Assistant provides a high level of administrative and program-level coordination, support, and customer service for the Office of Student Services in the Department of Educational Studies.
Collaborating with multiple roles across Department and College, the Student Services Program Assistant provides critical support for the Office of Student Services. The position assists leadership with student services including records maintenance and student reactivation requests; recruitment efforts; orientation activities including increasing responsibility with online orientation, assists Licensure and Graduation Coordinator with graduation clearance and licensure needs; assists processing licensure and endorsement applications and graduation needs; and evaluation of undergraduate and graduate transfer credit for the Department. The role assists the Admissions Specialist during peak admissions with prospective student contact and record keeping including use of databases and other online tools. In addition, the Program Assistant supports EHE GA Manager with Graduate Associate orientation and other TA coursework and activities in the department.
The Student Services Program Assistant also provides student services through interacting with students and prospective students regarding programs within the Department and advises them on processes and procedures for admissions into the programs. The role manages online registration for Department courses for graduate students; distributes department and office communication to current and prospective students and advises students in the Educational Studies Teaching Assistant student organization (ESTA).
Last but not least, the Student Services Program Assistant manages office functions and procedures. Is responsible for various administrative tasks including identifying and resolving administrative support needs of the office; scheduling meetings and makes appointments in an inter-professional environment; maintaining student listserv and department social media; assists with monitoring website for accuracy and timeliness including all student services web pages; coordinates and responds to office email and phone inquiries. Coordinates and orders office supplies and assists with major events (e.g. orientation); assists director with maintenance and archiving of students records, and with clerical tasks and reports. Coordinates special projects and performs other responsibilities and duties as assigned.

The Program Assistant within the Office of Student Services and Graduate Studies manages the front desk operations and provides excellent customer service to students, faculty, and staff who inquire about needed services and resources. The position provides support to the Director, Assistant Director, Admissions Specialist, and the Licensure and Graduation Coordinator on a day-to-day basis. The Program Assistant is self-motivated, takes initiative in assignments given by the directors and coordinators, able to work individually and in a team environment, has a desire to learn, and understands how to process constructive feedback. The Program Assistant ensures that all patrons are given adequate information concerning the department and programs offered, records and files are up to date and align with university policy, programs' websites are maintained with the most pertinent information, and the office is fully stocked with the necessary supplies and equipment to name a few. The position will work closely with faculty and other staff within the department on various projects on a need basis. The work style of this position would be agile given that there are sometimes that are quite busier than others. The position would be located in Ramseyer Hall.
In the first 60 to 90 days of employment, the successful candidate for this position will accomplish the following: -Understand how to utilize university administrative systems such as PeopleSoft, eRequests, and eReports -Develop a comprehensive plan with administering an efficient way to maintain and organize records and retention -Identify best practices in collaborating with faculty, staff, and students in providing excellent customer service -Establish productive relationships with directors and coordinators in the office to provide assistance as necessary -Coordinate an effective way to process transfer credit for both undergraduate and graduate students
The selected candidate for this position must have demonstrated success in several areas, including:
-A Bachelor's degree in an appropriate field or an equivalent combination of education and experience -Strong written and verbal communication skills -Analysis skills and abilities -Experience working in customer service -Experience in an office environment handling multiple tasks and establishing priorities -Good organizational skills -Experience providing administrative support to a broad base of internal customers -Considerable experience using Microsoft Office Suite applications -Experience with policy interpretation and guidance.
Desired requirements include:
-Demonstrated ability to manage multiple projects -Experience working in a higher education setting, preferably working with students -Knowledge of OSU administrative systems such as eRequest and eReports -Compiling and analyzing statistical software survey Qualtrics and Carmen (OSU's online LMS).
Target Salary: $16.25 - $18.18 Hourly
