Coe College seeks a dedicated and detail-oriented individual to join the Athletic Department as the Athletic Office and Special Events Coordinator.
The Athletic Office and Special Events Coordinator acts as an integral part of the Athletic Department by coordinating the day-to-day operation of the athletic department and facilities, supporting the Athletic Director in managing expenses and revenues and assisting with organizing athletic programs and special events,. This position is responsible for working with the Assistant Athletic Director on department revenue growth and successful coordination of events, which will contribute to the education and welfare of students, faculty and staff involved and the Cedar Rapids Community.
Essential Job Responsibilities:
Events & Programs
Collaborate with the Assistant Athletic Director to plan facility outreach, special events and youth programs and/or activities.
Cultivate, organize, promote and ensure successful hosting of athletic special events and programs, either autonomously or in cooperation with staff, faculty and campus or community stakeholders.
Coordinate team, staff and volunteer assignments as needed to support events and programs.
Schedule and coordinate travel for teams and athletic staff for games, competitions, recruiting trips and events, including organizing rental vehicles.
Expenses & Revenues
Procure travel advances and coordinate expense accounts.
Prepare requisitions, invoice payments and budget surveillance.
Review, reconcile and communicate quarterly budget updates of assigned teams and departments to appropriate coaches and staff members.
Schedule and maintain Facility calendars for all Coe College Athletic and Recreational Facilities in coordination with the Assistant Director of Athletics.
Compose and prepare written documents and correspondence for the Athletic Director and some staff, including memos, letters, presentations and spreadsheets.
Communicate team travel rosters with faculty when missed class time is involved.
Communicate with and coordinate contracts with athletic officials, other institutions, Conference Commissioners and the NCAA.
Oversee the coordination and sale of facilities passes.
Manage general department office inventory/supplies.
Answer telephone calls and troubleshoot queries.
Additional duties as assigned by the Athletic Director.
Bachelor’s degree or an equivalent combination of education and experience.
1+ years professional experience.
Proficient in Microsoft Office Suite.
Successful completion of a background check in accordance with Coe College policy.
