Reporting to the Senior Director of Individual Giving, the Administrative Assistant provides support to three gifts officers who advance the College’s relationship with donors and prospects capable of making significant gifts to the College. The Administrative Assistant supports all activities related to the cultivation, solicitation and stewardship of this constituency. The individual in this position must complete high-quality work in a fast-paced environment with multiple competing deadlines.
Essential Job Functions:
Supports the Senior Director of Individual Giving, the Director of Gift Planning, and Senior Development Officer for Leadership Giving in their travel and on-campus work with the College’s top prospects.
Assists with reporting needs for prospect portfolio management, strategic planning, gift revenue projection, and program assessment using various database platforms as well as Microsoft Excel
Manages data and reports to track, produce, and distribute, in a timely way, accurate visit and prospect lists.
Completes prospect coding, tracking all donor activity including individual visits, phone conversations, and correspondence.
Coordinates all necessary materials for complex high-level briefing books including travel logistics, research, and briefings.
Makes travel arrangements, completes expense reports and ensures that appropriate reimbursements are made; reconciles expense statements.
Drafts briefings and composes and edits correspondence as needed.
Answers the phone and assists other team members collegially
Carries out other projects and duties as assigned.
Prior administrative experience in a busy office environment required.
College degree preferred. High school diploma required.

Strong analytical skills, including the ability to analyze data and draw conclusions.
