Essential Duties and Responsibilities:
The primary purpose of this position is to serve as the coordinator for verifying information supplied as part of the application process for financial aid, including routine and ad-hoc verifications as well as adjustments due to special circumstances.
Duties and responsibilities of the position include but are not limited to the following:
Communicate clearly the federal, state and institutional regulations and policies surrounding the verification process.
Communicate with colleagues changes in policy affecting need analysis, including effectively training temporary and student workers involved in applicable processes.
Accountable for the accurate changes in data and records, using required technological resources, for student financial aid applications selected for verification or adjusted based on professional judgment (by approved staff) of special circumstances.
Maintains timely processing of changes and ensuring changes are transmitted and received from federal processor; quality checks all records (transmitted and received) for accuracy and regulatory/statutory compliance.
Timely processing of all records, including requests for initial, additional, incomplete, or missing information.
Coordinate the sending and receipt of all correction files with supervisor and/or designated staff.
Maintain current working knowledge of the Internal Revenue Service regulations, policies, and forms, as well as the regulations, policies, forms, acceptable documentation, and best practices for reporting (or adjusting) income and assets in financial need analysis.
Effectively explain to students and parents (and colleagues) what information/documentation is needed and why.
Work in a team setting to administer Federal Student Aid programs including, but not limited to, verification, loans, and adjustments based on special circumstances.
Track and report, to management and supervisor, trends and anomalies directly related to program administration and responsibilities for the role.
Assist students/parents with directions and procedures for completing verification and help resolve any questions they may have.
Provide timely processing of documents supporting verification or adjustments for special circumstances, including timely requests for additional information or notification of missing or incomplete information.
Review and suggest modifications to forms to improve clarity based on questions received from or errors made by students and parents.
Assist staff with verification and need analysis processing problems.
Experience in accounting or bookkeeping with an emphasis on a proven understanding of the Internal Revenue Code and tax filing regulations.
Knowledge of the Banner automated financial aid delivery system.
Experience in document management and electronic records maintenance.
Good clerical skills including data entry and accurate keyboarding experience.
