This is a full time, 35-hour week position, which provides administrative and secretarial support to the Chairperson and faculty of Social Work, and Gerontology (approximately 80%). Also provide secretarial support to Criminal Justice, Anthropology, Sociology and Human Rights and Women's Studies (approximately 20%). Reports to the Chairperson of the Social Work Department.
Serve as main telephone and office contact, receive and refer students and alumni.
Open and distribute mail, review and mark points of interest clearly.
Coordinate arrangements for meetings, conferences, and travel.
Update and maintain various departmental manuals and syllabi.
Record minutes for Department Meetings, Advisory Board Meeting and Majors Meetings.
Oversee Program Acceptance Process for department majors to ensure completion for each student.
Maintain inventory of supplies, oversee maintenance of all office equipments and maintain record of budget expenditures for the department.
Oversee student workers and/or student Interns.
Create routine correspondence and handle confidential student file correspondence.
Assist in correlating material and statistics for Council on Social Work Education.
Provide administrative support and perform clerical duties associated with the accreditation process of the Social Work program.
Update and maintain a current database of Social Work Department students and graduates.
Update and maintain confidential student files to include courses taken.
Provide information to students to ensure they are aware of on-going department activities and handle follow-up letters to any interested students.
Oversee distribution and return of various surveys to current students and graduates.
Assist Social Work Club and Honor Society when necessary.
Integrate the core values of respect, compassion, integrity, justice, and service in all aspects of interaction.
Perform other related duties as assigned.
High school diploma; some college preferred.
Demonstrated office and secretarial skills, such as phones, correspondence, mailings, scheduling, filing, use of office machines, etc.
Excellent interpersonal and communication skills, both verbal and written.
Ability to effectively communicate (verbally and written) with outside agencies and other GCU departments.
Excellent computer skills, including MS Word and Excel, and e-mail; aptitude for learning new software.
Computer experience with presentation and/or graphic software (ex. PowerPoint, Publisher) is a plus.
Detail-oriented and organized with ability to handle multiple tasks simultaneously in a fast-paced environment with accuracy.
Ability to work independently.
Ability to maintain confidentiality.
