The Intercollegiate Athletics department is looking for an organized and proactive Executive Assistant to join their department. Successful applicants will be detail oriented problem solvers, who can maintain confidentiality and be flexible in a busy environment where assignments and priorities can change quickly. This person must have a professional demeanor, strong initiative, and a positive, can-do attitude. Duties include but are not limited to:
Schedule appointments/meetings for Director of Athletics and senior departmental staff members;
Provide assistance to Director of Athletics, senior staff, and head coaching staff within the Athletics Department on miscellaneous tasks;
Research, prepare, and write material for projects undertaken by the Director of Athletics;
Brief supervisor on subject matter for upcoming meetings;
Prepare correspondence, reports, and other materials for the Director of Athletics and other members of the senior staff;
Screen Director of Athletics mail, phone calls, meeting requests, prioritize, and independently answer inquires that require immediate attention;
Record, type, and distribute minutes of meetings with constituent groups, upon request by the Director of Athletics;
Greet office visitors providing information, assistance, and service to all constituencies, going above and beyond routine office inquiries;
Interview and recommend hiring of student support staff, supervise and coordinate work-study students' schedules, and assign work/give direction to student support staff;
Supervise all student office workers, and work study students.
Assist External Relations Staff with special events as requested by Director of Athletics;
Assist with the record keeping of donations made to UMKC Athletics;
Order supplies and equipment from outside vendors and the University departments using standard purchasing practices and forms in order to maintain adequate stock in the department;
Oversee security (i.e., lock down) of office doors and files;
Assist in updating and preparing student athlete scholarships and NLIs annually;
Obtain meeting/conference rooms for all Athletics Department meetings/functions and work closely with vendors on food orders;
Adhere to NCAA, WAC Conference, and University regulations in the performance of all duties
Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.
Previous experience providing executive level administrative support
Experience managing an executive's calendar
Knowledgeable in the use of presentation software (PowerPoint, Prezi, etc.).
Excellent Excel, Evernote, and Word skills
Experience working with database systems (Access, PeopleSoft, etc.)
Full Time/Part Time
Full time, benefit-eligible
$16.92 - $20/hour and will be commensurate with education, experience and internal equity.
Hours are 8:00-5:00, Monday - Friday with some evenings and weekend hours required to attend events as needed.
