The part-time Administrative Assistant is responsible for assisting the Endodontic Chair and the Administrative Manager with various administrative activities for the Department with the primary responsibility of supporting the Endodontic Alumni. This includes but is not limited to coordinating and arranging presenter and speaker schedules for Alumni visits; coordinating, attending and providing hands on support for the annual AAE meeting, the Alumni Reception each spring, the Alumni BUEAA Fall meetings, and the Graduation Dinner sponsored by the Alumni. This requires the part-time Administrative Assistant to collaborate with the GSDM Event and Meeting Planning Office and the Alumni Officers to secure meeting space, invite and confirm presenters, create and distribute invitations and meeting materials, set-up the meeting spaces ensuring all A/V and needed supplies are on hand.
The part-time Administrative Assistant will assist the Administrative Manager with additional administrative duties which include but are not limited to: arranging and proctoring exams, assisting with the In Service Exam, the CODA Prep, which includes the Mock Boards and the Mock Site Visit (Self Study). In addition, the Administrative Assistant will coordinate and arrange presenter and speaker schedules for Lunch and Learns; assist the Administrative Manager with arranging social activities for the department including, welcome receptions, certificate parties and special occasions. Assist with recording meeting minutes, scheduling meetings and making travel arrangements.
Must have a high degree of attention to detail with correspondence and project specific work
Must be able to multi-task and prioritize
Must be able to critically think and problem solve and present ideas and or solutions for issue resolution
Must be comfortable interacting with Deans, Department Chairs, Directors, Students, and Staff on a daily basis
Must be able to work in a system driven environment with intermediate level experience in the following: Microsoft Office Applications Excel, Word, Power point, Outlook Assist with alumni events, graduation events, reviewing and assigning applicants to faculty, compiling residents portfolios and helping with the weekly lunch and learn lectures
