Position Overview This position supports to the Office of the Dean, with specific duties within the Development/Alumni Relations Office, Strategic Communications Office (including event planning), and the Office of the Dean. This current supervisor of record is the Director of Development, however the incumbent reports jointly to the DOD, the Director of Strategic Communications, and the Dean. This 100% position will commit approximately 70 % time to Development/Alumni functions, 25% time to Strategic Communications and 5% to Office of the Dean functions, with some variation depending on the annual work cycle and needs of the School. This position works in collaboration with the Office of the Dean (CAO/Business Office, HR, Strategic Communications, Development/Alumni), and will have significant interaction with faculty, staff, students, offices within the Office of Academic Clinical Affairs, the greater university, and external visitors/donors/board members.
(70%) Development/Alumni Office Serve as customer interface for the office, managing both in-person, phone, and electronic communications and ensuring that customers are directed to the appropriate personnel. Manage all aspects of the Donor Management System (DMS), including prospect/donor pipeline, strategy and cultivation, preparation and analysis of reports, and maintaining other filing systems supporting Development/Alumni; Work directly with donors, UMF, and SoN staff/faculty, prepare donor Memorandums of Agreement (MOA) pledges and gift forms accurately and efficiently; Organize and manage volunteer assignments, including SoN Foundation Board and Alumni Society Board; Monitor professional publications for awards/honors given to SoN faculty, faculty emerita and ad Honorem, staff, students, and all other SoN affiliates; Engage in research, planning, implementation, and evaluation of stewardship recognition activities (including business proposals, project management, budget responsibilities, and public recognition initiatives); Manage work flow to ensure a timely process of solicitation and closure of new gifts, and ongoing acknowledgement of long term donors; Manage and facilitate the support aspects of a SoN Campaign as directed. Provide support for Development/Alumni projects, including meeting logistics; Conduct analysis of data, monitor, and make recommendations on office budget; Hire, train, and manage the student workers for the office; Provide electronic calendaring support for the Development/Alumni Office; Manage travel arrangements, expense reporting, and reimbursement submissions for team members and ensure arrangements comply with university guidelines; Prepare proposals, presentations, and correspondence for the Director of Development, Senior Development Officer and Director of Alumni/Donor Relations for their signature. Edit and proofread departmental correspondence, disseminating as required without supervision; Prepare written website content and updates in the development and alumni web pages using Oracle Content Management System;
(25%) Office of Strategic Communications Serve as customer interface for the office, managing both in-person, phone, and electronic communications and ensuring that customers are directed to the appropriate personnel. Manage travel arrangements, expense reporting, and reimbursement submissions for team members and ensure arrangements comply with university guidelines; Provide electronic calendaring/scheduling support for the Office; Prepare proposals, presentations, and departmental correspondence, as directed; Conduct analysis of data, monitor, and make recommendations on office budget; Assist with event planning and serve as event staff as directed; Hire, train, and manage the student workers for the office
(5%) Office of the Dean Support Provide general office support to the Office of the Dean as assigned.
Salary Range: $17.31 to $29.10 USD/hour

Required Qualifications High school diploma/GED and a combination of work experience and/or education to total 5 years of related office support; Experience in higher education or a business of similar size/scope; Demonstrated experience in fundraising and/or alumni relations; Strong competency with word processing, databases, data entry, report generation, preparing presentations, calendaring, etc. (Microsoft Office Suite, databases); Experience drafting, editing, formatting complex business correspondence/documents; Demonstrated experience scheduling complex meetings with multiple participants via electronic calendaring; Experience preparing/tracking financial documents, purchase orders, contracts, reimbursements, expense reconciliations; Experience planning/managing events; Experience working with confidential information
Preferred Qualifications Experience with U of MN systems, infrastructure, regulations and policies; Education/experience in healthcare, business, development, or related field
