General Statement of Duties: The primary function of this position is to assist and support the efforts of the Housing & Residential Services. This is a responsible support position providing front line response to inquiries regarding Housing & Residential Services operations which includes the major function roles: Residence Education, Housing Operations, Parking Services, Business Services, Summer Conference & Guest Services and Communications & Public Outreach. Provides clerical/secretarial support according to standard procedures for the central office staff, which requires a thorough knowledge of department processes and services.
Duties & Responsibilities:
Provides front-line receptionist functions for the department; assessing inquiries, requests and providing responses or materials according to department policy; assess walk-in traffic and directs to appropriate staff when necessary, including inquiries via phone and email.
Maintains financial records, tracks financials through databases and spreadsheets, runs reports, generates and enters requisition forms, makes daily deposits, tracks deposits and invoices for housing and parking.
Communicate effectively both orally and in writing with students, parents, staff and the public.
Utilizes MS office, email, PageMaker, BANNER, Housing Director and other computer applications/databases to compose correspondence, reports and announcements in accurate format and completeness.
Operates standard office machines, including personal computers, telephones, two-way radios, fax machines, copiers, typewriters, calculators and similar equipment.
Supervise student staff: Graphic Design Assistant(s), coordinator work schedule and assignments.
Perform general office management tasks (e.g. arranging travel, scheduling appointments for professional staff) and other assignments as directed.
Maintain and distribute duty schedules, staff phone lists, emergency contact cards, etc.
Process all incoming mail for the department, date stamping and recording as appropriate and distributing to department staff.
Assist with the coordination, updates and maintenance of the departmental social media platforms including but not limited to: website, Facebook, Instagram, twitter, live chat.
Support other clerical functions of the office as necessary, including accepting and processing housing deposit payments, damage bill payments, parking permit and citation payments, including receipts, entry in Banner or other database and prepare deposit reports.
Process student facility requests through Housing Director; notify the appropriate staff for emergency situations.
Responsible for opening the Housing and Residential Services office daily.
Performs other related duties as assigned.
Minimum two year experience in an office environment and customer services/relations.
Associates degree preferred.
Knowledge of clerical office practices and procedures including record keeping, office correspondence, the use of office equipment, supplies, etc.
Ability to manage multiple tasks and maintain confidential information; independent and organized with attention to detail; meet deadlines under pressure.
Ability to establish and maintain harmonious relationships with students, staff, and public.
Ability to communicate effectively and professionally.
Working knowledge of various software programs, including MS Word, Excel, Publisher and e-mail.
Exemplary written communication.
Working knowledge of marketing and social media platforms including Facebook, Instagram, Twitter, etc.
Ability to accurately and efficiently data enter and proofread names, numbers, codes, etc.
Ability to hire, train, supervise student employees.
Ability to perform the duties of the above position with or without reasonable accommodation.
Must be able to satisfactorily pass a check conducted by the Criminal History Systems Board (CORI).
Additional Salary Information: Salary based on 25 hours per week
