Summary of Duties and Responsibilities:
The Seed Science Center at the College of Agriculture and Life Science at Iowa State University is seeking applicants for an Administrative Specialist II positions to provide confidential, administrative support to the Center Director and faculty and staff at the Center or affiliated with the Center.
This position will provide professional administrative support to the Center Director. Core responsibilities include managing the Director's calendar and committee commitments; providing administrative and budgetary support for center projects and reports and coordinating annual processes for faculty and staff. The Administrative Specialist will coordinate visits of domestic and international clientele to the Center and serve as the center's liaison to other departments affiliated with the center and college offices on campus. The Administrative Specialist will coordinate student hourly workers (average 40 students per semester) with their supervisors and serve as the key coordinator, data/phone coordinator, and facility inventory coordinator at the Center. The Administrative Specialist will work with the seed laboratory manager on billing process of internal and external customers and coordinate with accounts receivable to resolve issues. The Administrative Specialist will coordinate with the affiliated faculty on grant proposal preparation and with the College on submission.
The successful candidate will possess the ability to exercise independent judgement and discretion, the ability to maintain strict confidentiality, the ability to work under pressure with tight deadlines, skills to stay focused, organized, and calm when faced with stressful situations, and interpersonal communication skills to interface with a variety of constituents. Excellent computer skills and proficiency with MS Office Suite are essential for success in this position. All employees are expected to interact collegially and in a professional manner and maintain the highest standards of integrity and ethics.
Required Education and Experience:
Bachelor’s degree and 1 year of related experience; OR a combination of education and/or related experience totaling 5 years. Experience must be at a comparable level and directly related to the duties of this position.
Preferred Education and Experience:
- Additional years of administrative support in a confidential position.
