The Assistant Director aids in the daily operations of the Office of Student Accounts. This position is responsible for billing operations, student refunds, customer service and call center management. In the absence of the Director, the Assistant Director will guide staff members and aid in problem solving and student situations.
Bachelor’s degree plus three years related work experience in higher education with Datatel or similar ERP or equivalent combination of education and experience. Extensive customer service experience and call center management expertise preferred.
Solid working knowledge of Microsoft Office and database systems.
Required knowledge of general accounting practices.
Ability to manage multiple projects.
Excellent telephone etiquette and communication skills.
Experience with Outlook, Datatel, Blackboard, Entrinsik Informer preferred.
Ability to interact with all level of individuals and management.
Ability to convey information effectively both verbally and in writing.
Ability to interact well with people of all ages and diverse backgrounds.
Ability to provide customer service and answer student inquiries regarding their financial status.
Ability to provide leadership in customer service and support for students and staff.

Responsible for timeliness and accuracy of student refunding – process aging, review accounts for errors, process check voucher requests, facilitate account corrections as needed.
Review student withdraws and monitor refunding, coordinating any refunds after withdraw process is finalized.
Manage Federal Title IV Excess Aid Authorization forms and enforcing regulations regarding unclaimed property.
Assist with unclaimed property outreach for student uncashed checks.
Manage billing processes and communications for Traditional and SU Online billing cycles. Assist Specialist with SU Online accounts and sponsorship billing processes.
Supervise third party invoicing & payment processing.
Assist in management of daily workflow of the Student Accounts staff; provide training and problem solving support to members of the team including the main call center.
Work in conjunction with the other Assistant Director with staff scheduling, support, and shared responsibilities.
Provide leadership and support in management of call center and customer support.
Provide excellent customer service and counseling in guiding students and parents through all requirements and steps in the payment process.
Provide families with payment options, waive late fees, and post payment.
Reconcile accounts as required for cash deposits, and transactions processed daily.
Process various data entry for payments, deposits, and charges to student accounts.
Assist in the coordination of Study Abroad deposit, payments and reporting.
Responsible for providing back up for the transmission of financial aid and daily transactions reconciliation to post to the general ledger.
Input and extract data from Datatel, Blackboard, Entrinsik Informer, and the Imaging System.
Process the student refunds for the housing security deposits.
Assist in the coordination of projects and assignments from the Director.
Manage and develop Student Accounts standards and procedures with the Director.
