The Office Associate provides assistance to the Research and College Office Coordinator and the Visiting Research Professor with media and general administrative clerical tasks. General office support with specialized elements as described in Duties and Responsibilities below.
Duties and Responsibilities:
1.Create and maintain social media accounts. 2.Assist with preparation of social media content. 3.Prepare summaries of major events including Congressional hearings and health care trade association meetings. 4.Develop and maintain correspondence including coordinating large group mailings and targeted email distribution lists. 5.Perform data entry and clean-up in Microsoft Excel spread sheets. 6.Perform word processing of teaching and research materials. 7.Perform graphic processing and posting on digital display board. 8.Provide copying, printing and scanning support to faculty and administration. 9.Reserve spaces for meetings; assist with class scheduling and changes; upkeep of three conference rooms and assist with Skype Meeting set up. 10.Order desk copies for faculty members. 11.Facilitate and proctor make-up exams. 12.Monitor college general email and fax account; respond inquiries; forward emails and faxes to pertinent departments or recipients. 13.Maintain inventory of office keys, laptops, small devices and other materials for check-out; consistently update the inventory database; create monthly inventory report and save on file. 14.Upkeep 2nd and 3rd floor workrooms; ensure adequate supplies and equipment function. 15.Organize and update mailboxes; oversee daily mail distribution. 16.Create FedEx labels; assist with packaging and delivery. 17.Provide back-up support and phone coverage when the Research and College Office Coordinator is unavailable, specifically, Information Desk oversight, access to faculty offices, facilities and IT issue reports. 18.Support for event logistics, such as registration, survey, and set-up/take-down. 19.Provide additional assistance to college departments as needed. 20.Run urgent errands to other offices on campus. 21.Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills, and Abilities:
Office administration training; post-secondary.
2 plus years of relevant experience and/or evidence of technical competence.
Must possess excellent customer service skills
Mature, professional and able to maintain confidentiality
Detail-oriented, organized, able to prioritize and multitask
Social media content development
In-depth knowledge of Word, Excel, PowerPoint and Outlook
Ability to learn and use online survey tools
Preferred Knowledge, Skills, and Abilities:
Bachelor's degree preferred
Experience posting and maintaining materials on social media websites is a plus
