Provide overall clerical/office support to the Clinic Director and other Department Administrators as well as manage student schedules and records; assist faculty and patients in the School of Dentistry.
Duties and Responsibilities:
1.Type and word process a variety of documents for the Clinic Director and other Department Administrators including sensitive and confidential correspondence, committee minutes, reports, agendas, etc. Provide secretarial support to faculty members as appropriate. 2.Track service points, block rotation switches, absences, medical consultations and immunizations for all dental students. 3.Provide clerical support to the Clinic Director, Clinic Operations Manager, Quality Assurance Coordinator, including word processing, correspondence, filing, and photocopying. 4.Update and maintain the internal phone lists and student class lists. 5.Update and maintain compliance requirements for employees and students. 6.Coordinate volunteers with the Advanced Care Clinic on school closures. 7.Respond to telephone and in-person requests from faculty, staff, students, patients and visitors. Refer callers to appropriate department as necessary, respond to patient concerns and facilitate a timely resolution. 8.Order departmental supplies using MU Dental Store Procedures. 9.Assist with regional board exams including processing paperwork and assisting students and patients as necessary. 10.Schedule meetings and make room arrangements. Attend and take minutes at various meetings as required such as Clinic Operations, Quality Assurance and Infection Control meetings. 11.Provide administrative support to the Clinic Office including photo copying and distributing memos/documents and collecting and distributing departmental mail. 12.Schedule CPR re-certification, TB testing and Flu Clinic for Clinic Faculty and staff; and maintain the student and employee databases. 13.Coordinate printing and distribution of Clinic Operations Manual and CPCM. 14.Finalize and process legal requests. 15.Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills, and Abilities:
High School education.
Two years proven experience as an executive administrative assistant, senior executive assistance or in another office administrative role
Good organizational and customer service skills.
Excellent written and verbal communication skills.
Discretion, flexibility, and courteous demeanor
Ability to maintain confidentiality.
Ability to work and communicate with people from a diverse population.
Ability to work independently with little supervision and constant interruptions in an environment that can be stressful at times.
Ability to multitask and prioritize daily workload.
Computer competency with word processing and spreadsheet applications required.
