Summary of Duties and Responsibilities:
The Athletics Department is accepting applications for a Program Assistant whose responsibilities will be to help coordinate and oversee the event planning and operations related to Iowa State University Athletics premium facilities including Jack Trice Stadium (stadium suites, Jack Trice Club, Sukup End Zone Club) and Hilton Coliseum (Johnny's). This position reports to the Director of Premium Services and Special Events. The position will also assist in donor engagement as well as planning and executing special Athletics events, which may include Cyclone Tailgate Tour and Cyclones Unplugged.
This position will focus on providing high-level customer service to donors and patrons in the premium areas as well as donor engagement and stewardship. Additional responsibilities of the position include planning for small to large events on a regular basis; managing event databases and spreadsheets; working with donors, fans and external clients on a regular basis; developing communication to both internal and external constituents; maintaining website content, social media networks, mass emails and other event/premium correspondence. Responsible for adhering to the rules and regulations of the University, Big 12 Conference, and NCAA.
The successful candidate will possess the ability to be highly organized, provide exceptional customer service and donor relations, professional and detail oriented. Strong verbal and written communication, planning and time management, and the ability to solve on-site problems and make decisions will also be necessary in order to be successful in the position. The candidate must have the ability to foster positive, collegial, and collaborative relationships with a diverse population of internal and external constituents. The position requires the ability to work events that occur outside the normal business hours on evenings and weekends.
Required Education and Experience:
Bachelor’s degree and 1 year of related experience; OR a combination of education and/or related experience totaling 5 years unless otherwise specified under supplemental required education and experience. Experience must be at a comparable level and directly related to the duties of this position.
Preferred Education and Experience:
Event coordination or operations experience with an intercollegiate or professional athletics program. Hospitality experience working with donors, season ticket holders and patrons. Demonstrated experience using social media platforms for marketing work-related projects. Experience using Microsoft Office and Adobe Creative Suite. Degree in related field (hospitality, event management, public relations, athletics administration).
This position is subject to compliance with the NCAA's IAWP legislation which defines an individual associated with a prospective student-athlete (IAWP) as any person who maintains (or directs others to maintain) contact with the prospective student-athlete, the prospective student-athlete’s relatives or legal guardians, or coaches at any point during the prospective student-athlete’s participation in men's basketball, women's basketball, and/or football and whose contact is directly or indirectly related to either the prospective student-athlete’s athletic skills and abilities or the prospective student-athlete’s recruitment by or enrollment in an NCAA institution. This definition includes, but is not limited to, parents, legal guardians, handlers, personal trainers and coaches. A violation occurs if an IAWP is employed by the institution and, at the time of employment, a student-athlete who enrolled at the institution in the previous two years (and remains enrolled at the institution) was a prospective student-athlete by which the individual meets the definition of an IAWP. A violation also occurs if an IAWP is employed and, within two years after such employment, a prospective student-athlete by which the individual meets the definition of an individual associated with a prospective student-athlete enrolls as a full-time student in a regular academic term at the institution.
