Work Schedule: Typically, Monday-Friday from 8:00-5:00 p.m; Summer: Monday-Thursday from 7:00-5:30 p.m.

Position Summary: Under the supervision of the Director of Academic Programs, the incumbent will be responsible for coordinating a full range of moderate to complex clerical and general administrative support assistance for the successful program facilitation of a large academic program. This will include the familiarity with office administrative technology to facilitate program support and act as a resource to the College of Extended and Global Education (CEGE) colleagues.
Under general supervision, the incumbent will perform a variety of office clerical functions and provide support to prospective and current students to include, but not limited to the following:
The incumbent will prepare program budgets for review, anticipate, analyze, and troubleshoot problems from a broad perspective, suggest potential solutions to unique and systematic programmatic programs, prepare program enrollment reports and correspondence.
The incumbent will maintain, track, process and provide correspondence for employee discount applications, submit background check requests and preparation of all hiring contracts and agreement letters of Faculty, Teaching Associates and Instructional Students Assistants.
The incumbent will answer phones & field questions from student inquiries related to PACE Programs, provide student service support for all programs in PACE, reconcile problem registrations, coordinate tabling and other marketing activities, coordinate and schedule rooms and hospitality for campus-wide administrative meetings, coordinate hospitality orders for courses at the Palm Desert Campus.
The incumbent will maintain program folders for all programs , assist with handling, inventory and storing remaining supplies at the end of the programs, attend regular set meetings with Program Administrators, process textbook and software orders, monitor inventory of textbooks and class materials, process instructors' requests for duplicating, prepare program reports, entering and managing courses in the CSU System-wide schedule of classes, assist with the planning of Welcome events, attend and coordinate activities at the Welcome events, and other related duties as assigned within Professional & Continuing Education.
Education & Experience:
A High School Diploma or equivalent AND a minimum of three (3) years of experience in general office clerical/administrative work.
Knowledge, Skills & Abilities:
Thorough knowledge of office methods, procedures and practices.
Thorough knowledge of correct English, grammar, spelling and punctuation.
Knowledge of applicable university infrastructure, policies and procedures.
Working knowledge of office systems and ability to use a broader range of technology, systems, and software packages such as Microsoft Office.
Ability to independently handle multiple work unit priorities and projects, along with the ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
Ability to perform standard business math such as calculate ratios and percentages, track financial data and make simple projections.
Ability to draft and compose correspondence and standard reports.
Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those of sensitive nature, along with the ability to work cooperatively with a diverse group of people.
A Bachelor's Degree is preferred.
A working knowledge of budget policies and procedures is desired.
Experience working with basic principles and trends in the field of Adult Learners and Continuing Education.
