Administrative Associate IV - Nursing Post-Licensure Provides advanced level secretarial or administrative assistance on behalf of an academic department or major service unit within the university.; Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate.
Responsibilities: 60% Department Head, Department, College/University, and External Entity Support
DEPARTMENT HEAD: Works closely and communicate frequently with DH; Assists DH in completing departmental tasks.
DEPARTMENT: Assists with all aspects of the faculty hiring process; Assists in inputting course and clinical schedules and makes changes; Oversees coverage of front desk; Responds to messages (emails from departmental email box and voice messages); Works closely with the Registrarâ™s office for classroom assignments; Maintains departmentâ™s community site on a course Learning Management System, such as Blackboard (course syllabi, course reports, and committee reports; Manages and schedules conference rooms; Takes inventory and orders office supplies, stationary, copy paper, toner, and other supplies; Facilitates and reviews as necessary contract for copy and fax machine services; Timely filing of all documents; Oversees locker rental process; Attends department meetings and assists with on-line meetings.
COLLEGE/UNIVERSITY: Efficiently use Buy A&M, personnel actions, scheduling program, Workday, and other programs; Monitors budgets and provide report to DH; Confers with College Budget and Records Specialist; Acts as a liaison between the department and other areas on campus (College, Employee Services [Human Resources and Payroll], Academic Affairs, Registrar, and other areas); Assists with collecting data for WEAVE. Manages procurement card; Completes inventories; Confers with DH and sends items to surplus; Reports/requests maintenance/housekeeping repairs/services.
EXTERNAL ENTITIES: Submits and manages roster of students for criminal background check to the Board of Nursing; Collects and files blue cards and other responses students receive from background check process. Prepares Affidavit of Graduation (AOG) for Program Director. Assists with tasks related to program accreditation.
10% Department Programs Support Collects syllabi and post; Collects final grades; Coordinates with faculty and students for tasks relate to Pinning ceremony; Assists with scholarship processes.
15% Student Worker Supervision
Completes process to hire student workers; Oversees schedule for student workers; Provides feedback to student workers about performance; Delegates decorating, copying, document typing, filing, organization and distribution of HESI books, incoming mail distribution, and tally of outgoing mail to student workers.
10% Department Personnel Support
Facilitates ordering keys, requesting card swipe access, access to software across the university (with DH conferral); Orders name tags and business cards; Oversees employees orientation to Workday; Performs timely submission of bi-weekly payroll.
5% Other Responsibilities
May need to work occasional weekend or evenings. Performs other duties as assigned
Required Education and Experience:
High school diploma or equivalent combination of education and experience. Four years of general clerical or office experience.
Required Knowledge, Skills and Abilities:
Knowledge of word processing, spreadsheet, and database applications. Effective verbal and written communication skills. Strong interpersonal and organizational skills. Ability to multitask and work cooperatively with others. Ability to work with sensitive information and maintain confidentiality.
