The University of Puget Sound invites applications for an Assistant Academic Dean for Operations and Technology An innovative position within the academic division of the university, the Assistant Dean for Operations and Technology (1) manages critical components of academic operations, including the class schedule, summer session, and course catalog; (2) works to identify, implement, and support technology-based tools and other solutions aimed at improving the provost's and deans' offices' ability to fulfill their mission; and (3) manages staff members in the Office of the Associate Deans. The Assistant Academic Dean for Operations and Technology interacts meaningfully and on a daily basis with a broad cross-section of the campus community, including faculty, Technology Services colleagues, and the offices and staff members of the academic division. Deans' Office Mission Statement: The Deans' Office supports the design and delivery of a vital educational program that best serves Puget Sound's mission and educational goals. While we serve a broad range of constituents, we particularly focus on faculty members as teachers, scholars, and citizens of the college and on staff colleagues who are our partners in the Academic division. In collaboration with these groups and others, we promote and support a rigorous, innovative, and inclusive teaching and learning environment for Puget Sound students. Essential Job Functions and Responsibilities: In collaboration with the deans, directors, faculty and staff colleagues of the academic division, identify existing and emerging workflow and service needs, and work to address them, applying process and technology knowledge and skills to the following components and responsibilities of the position:
Prepare the Fall and Spring class schedules annually in accord with scheduling guidelines, in collaboration with the Associate Academic Deans who manage budgets, and informed by enrollment data, to achieve maximum student educational opportunity and optimal deployment of the faculty resource.
Coordinate, publicize, and direct Summer Sessions to achieve educational and budget objectives.
Manage the course catalog, including publication of undergraduate and graduate Bulletin.
Maintain oversight of the provost's and academic deans' webpages.
Provide training and documentation to faculty in order to support their use of PeopleSoft and other campus systems.
Serve as subject matter expert and liaison with Technology Services.
Set or contribute to agendas, and lead or co-lead regular, standing meetings between the academic division and the Enterprise Information Services (EIS) division of Technology Services (TS) to advocate for and realize positive technology outcomes on behalf of the academic division.
Represent the Dean of the University on the Library, Media, and Information Services (LMIS) Committee.
Completion of the core functions of the position noted above will require capacity to coordinate with staff in the Provost's and Associate Deans' Offices and to collaborate with campus leaders to:
Design and implement reporting and workflow solutions for common and ongoing domains within the academic division, including but not limited to course proposal and approval workflow, automated generation of course catalog content, and the Faculty Information System (faculty database).
Provide functional/technical support during system upgrades, creating detailed test plans and coordinating testing. Monitor progress, troubleshoot and resolve problems that may occur, and verify completion.
Identify and outline educational and business processes, and write application design specifications and workflow documents, RFIs and RFPs, as well as procedural documentation, in support of application and integration projects within the academic division.
Lead training programs for database, reporting and system software products used or accessed by the academic division.
Assist administrative staff with the planning, development, and support of information systems that serve campus-wide analytic and reporting needs. Working with other campus staff, contribute to the planning, adoption, and development of information systems.
Supervisory Responsibilities: Leads and supervises the implementation team in the Associate Deans' Office, including the Records and Computing Specialist, the Academic Support Specialist, and the Administrative Specialist.
Budget Responsibilities: Manages the Summer Session budget. Qualifications: Qualified candidates for the Assistant Academic Dean for Operations and Applications position will possess some or all of the following characteristics:
Bachelor's degree (master's degree preferred).
3 years of experience working with the technology aspects of an office; 2 years of supervisory experience.
Familiarity with and experience working within academic and administrative organizational structures of a private liberal arts university or similar organization.
Ability to communicate well both orally and in writing; strong interpersonal skills and demonstrated team-based service orientation; capable of listening well, advocating equitably, and finding solutions within constraints.
Demonstrated capacity for independent judgment and initiative. Ability to organize work, set priorities, use time effectively, and work independently with minimum supervision.
Proven ability to work well with a diverse population; to be informed and competent with regard to issues of diversity, equity, and individual differences; and to contribute meaningfully to objectives of the university's diversity strategic plan.
Demonstrated aptitude and interest in staying abreast with technology, detailed work, and creative problem-solving.
Demonstrated ability to collaboratively identify and translate operational and service needs from generalized descriptions into workflow documents, application specifications, RFPs, and custom solutions.
Demonstrated ability to develop, manipulate and report against complex data sets, using common data tools such as spreadsheet applications, relational database queries and reports, and analytics applications. Experience working with data warehouse desirable.
Ability to establish and maintain close and productive working relationships with other functional technology staff across the campus.
Demonstrated experience and certifications relevant to the PeopleSoft ecosystem are highly desirable.
Demonstrated experience and certifications relevant to workflow development and implementation are highly desirable.
Ability to respectfully work, communicate and provide leadership within a diverse campus community.
