Summary of Duties and Responsibilities:
The Controller’s Department, under the Associate Vice President for Finance, and the Assistant Vice President for Payroll, Benefits and Tax are seeking qualified candidates for an Administrative Specialist II to provide executive level support for highly visible university administrative offices.
Under the general supervision of the Assistant Vice President for Payroll, Benefits and Tax and the Controller, this position will be responsible for monitoring pending issues to ensure deadlines are met, producing reports, researching issues, organizing presentations, managing/formatting data, handling mail and understanding basic responsibilities/priorities of the position. This position will manage the daily operations of the office suites including, but not limited to, maintaining and tracking departmental budgets, reconciliation of expenditure reports, creating and updating web pages, providing the initial point of contact for the office suites, and presenting a positive professional image. This position will provide executive support to the Assistance Vice President of Payroll, Benefits and Tax and the Controller and their staffs as necessary. Executive support could include: calendaring, prioritizing meetings, coordinating meetings with other units, monitoring email, and handling travel arrangements.
The successful candidate will possess good interpersonal skills, organizational skills, effective written and verbal communications, the ability to exercise independent judgement, decision-making and a high degree of discretion. Excellent computer knowledge and proficiency with MS Office Suite products, including Outlook, Word, Excel, PowerPoint and One Note are essential for this position.
Required Education and Experience:
Bachelor’s degree and 1 year of related experience; OR a combination of education and/or related experience totaling 5 years. Experience must be at a comparable level and directly related to the duties of this position.
Preferred Education and Experience:
Demonstrated experience providing professional administrative support in an multi-staff office environment.
Experience working with Microsoft Office suite products, especially Word, Outlook, PowerPoint, and Excel.
Experience that demonstrates effective written and oral communication skills.
Experience working in a confidential environment.
Demonstrated ability to create and maintain web pages.
