Under the supervision of the Operations Manager, the Lead Practice Support Specialist oversees all front end operations. The Practice Support Specialist serves as a resource for the entire department. With the guidance of the Operations Manager, the Practice Support Specialist initiates and participates in quality improvement efforts with the goal of making positive changes in clinic operations.
The Practice Support Specialist ensures all scheduling and rescheduling is completed in the timeframe given. Provides in-person and over-the-phone patient registration and scheduling. Additional duties include answering multiple phone lines, triaging incoming patient calls and voicemail messages, ensuring the caller's message is sent to the correct provider or staff member. During patient registration/check-in, ensures all demographic and payer information is up-to-date and accurate.
This position verifies that the insurance policy is active and the patient is eligible for services provided in the Adult Specialties clinic. Oversees front desk communication between patient and provider or staff member. The Lead Practice Support Specialist is the lead scheduler, and can add/edit/delete provider templates as needed. Handles managing templates for Pulmonary and Sleep Medicine. Designated trainer for new employees working the Front Desk. Orients new employees as well as float workers to the clinic. Other miscellaneous duties may be designated. Utilizes Core Values.
A minimum of five (5) years of relevant experience.
Administrative lead and front office administration experience.
Understands functions of the referral and authorization department.
Demonstrated scheduling and authorization experience.
Understands and applies Cash Pay/Self Pay processes.
Ability to articulate physician's areas of expertise.
Understands functions of the physician liaison department.
Proficiency with computer programs including Excel, PowerPoint, Graphs, Word, and Access.
Possess the skills, and extensive knowledge of practices in Ambulatory setting.
A Bachelor's Degree.
Bilingual in both English and Spanish.

Must be able to work various hours and locations based on business needs.
Able to flex work hours including overtime, weekends, and holidays if required for business needs.
