This position provides leadership and direction to multiple departments within Auxiliary Services. This includes responsibility for daily operations, facilities management, strategic planning, budgetary process, personnel administration, marketing and communications for the following departments: 1) University Mail Services, 2) Residential Laundromats and Laundry Services, 3) Armored Car contract.
This position is responsible for oversight and ensuring services are delivered as contracted and costs are competitive; assessing staffing needs and making necessary revisions to attain effective use of staff and fiscal resources. Provides direction in training, development and evaluation of staff; developing, facilitating, and enforcing operating policies and procedures, as well as the annual and long-range departmental budgets. Preparing and reviewing statistical data for internal analysis, annual reporting, and reporting to outside organizations and regulatory bodies. Managing departments in a way that gains and maintains professional and effective interpersonal relationships with all stakeholders. Ensuring managers and staff are informing University Departments and students, in regards to policies and procedures as it relates to departmental mail services, laundry services, laundromats and armored car. Position works with Laundry Manager to develop RFPs and select contractors for Laundry Services, Laundromats and Armored Car.
This position directs the continued development and operation of a centralized mail management system for the University, coordinating and managing facilities and infrastructure at the University Mail services. This includes managing the centralized posting and charge back operation. This position ensures that the University takes advantage of pre-sort and International discounts. It plans and develops cost effective mail systems for the University. This position is also responsible for building customer confidence by presenting a professional image, providing appropriate training for University staff, developing a customer service program, and promoting the services provided by each of its departments. To maximize efficiency of mail operations for the University, the position's responsibilities include but are not limited to: workflow analysis, service analysis, evaluation of mail delivery routes, evaluation of processes for handling incoming and outgoing U.S. Mail/International Mail, and recommendations on the use of centralized metering operations which serve the entire campus community.
Education and Experience:
High school diploma or equivalency and two years of supervisory experience in the area of assignment; or equivalent combination of training and experience.
A high degree of understanding of how mail meters and permits work, requirements for first class, presort and bulk mail.
A high degree of understanding of the cost of mail and how to charge departments in a higher education environment.
Knowledge of Guides, Regulations, Policies and References in respect to Domestic Mail and International Mail.
Strong personnel management skills.
Valid Drivers license and excellent driving record.
A bachelor's degree and five (5) years of progressively responsible professional management experience. Must have a well-rounded background in the technical, operations, and management aspects of a mailing facility.
Proven ability to manage multiple operations including receipt supported operations. Experience in strategic planning, decision making and interpersonal business relationships. Demonstrated effective budgeting skills, as well as knowledge of accounting principles and procedures.
Experience and a good understanding of working with contracts, RFP’s, SLA’s and purchasing.
Can demonstrate ability to communicate effectively both orally and in writing.
Member of Higher Education Mail Organization, CUMSA and or NACUMs
Ability to analyze problems and develop practical solutions, along with the capability of organizing and managing various projects at one time.
Ability to work with a great degree of independence and innovation, ability to facilitate meetings and planning sessions.
Experience with Opex Mail Sorter, Hasler postage meters, G2 software or similar products.
