Summary of Duties and Responsibilities:
Iowa State University (ISU) is seeking applicants for a full-time Administrative Specialist III for the Office of the Vice President for Research (VPR). The Office of the VPR advances research at ISU in partnership with colleges and interdisciplinary research centers. The VPR Office helps build research capabilities and infrastructure provides support for innovative interdisciplinary research, and facilitates strong relationships with sponsors and collaborators. The VPR Office provides administrative services and facilities to support a diverse sponsored funding portfolio, research excellence and knowledge transfer. The VPR Office also ensures awareness and adherence to principles of ethical research conduct and compliance. This position reports to the Assistant to the VPR and functions as a key part of the office's administrative team by specializing in providing executive-level administrative support directly to the Vice President for Research (VPR). Executive administrative responsibilities include briefing the VPR regularly on status of meeting preparations, deadlines, projects, and providing suggestions to solve internal and external issues; manage the VPR schedule; serve as first point of contact for the VPR; screen and direct incoming communications; create professional level reports; complete all preparations for upcoming engagements; assist with special projects on behalf of the VPR or other senior VPR office staff; and facilitate the effective and efficient management of the Vice President's office by working with the VPR office team. This position investigates and reports on issues to assist the vice president in decision making; serves as the office's liaison to other administrative and college offices; provides support to special committees and other groups as assigned. The successful candidate will possess independent judgment, initiative, discretion, strong verbal and written communication skills, strong interpersonal skills, and the ability to work under pressure in a busy office environment with confidential information. The successful candidate will possess strong organizational and time management skills and be able to analyze, understand, and communicate complex issues.
Required Education and Experience:
Bachelor’s degree and 2 years of related experience; OR a combination of education and/or related experience totaling 6 years. Experience must be at a comparable level and directly related to the duties of this position.
Preferred Education and Experience:
-Degree in a relevant field -Experience supporting a senior administrator -Professional experience in a higher education or research oriented setting -Experience interacting regularly with internal and external executive level staff -Experience working with confidential material on a daily basis -Experience coordinating projects
