Summary of Duties and Responsibilities:
The Office of the Vice President for Research (VPR) at Iowa State University is seeking qualified candidates to fill a full-time Administrative Specialist I position. The Office of the VPR advances research at ISU in partnership with colleges and interdisciplinary research centers. The VPR Office helps build research capabilities and infrastructure provides support for innovative interdisciplinary research, and facilitates strong relationships with sponsors and collaborators. The VPR Office provides administrative services and facilities to support a diverse sponsored funding portfolio, research excellence and knowledge transfer. The VPR Office also ensures awareness and adherence to principles of ethical research conduct and compliance. This position provides executive-level administrative support to four AVPs for Research (AVPR), the staff of the VPR office, and will have interactions with all areas of campus. Responsibilities include briefing the AVPRs regularly on status of meeting preparations, deadlines, projects, and providing suggestions to solve internal and external issues; manage the AVPR schedules; serve as first point of contact for the AVPRs; screen and direct incoming communications; create professional level reports; complete preparations for upcoming engagements; assist with special projects on behalf of the AVPRs or other VPR office staff. This position investigates and reports on issues to assist the AVPRs in decision making and provides support to special committees and other groups as assigned. Successful candidates will possess independent judgment, initiative, discretion, strong verbal and written communication skills, strong interpersonal skills, and the ability to work under pressure in a busy office environment with confidential information. Successful candidates will possess strong organizational and time management skills and be able to analyze, understand, and communicate complex issues.
Required Education and Experience:
Bachelor’s degree and related experience; OR a combination of education and/or related experience totaling more than 4 years. Experience must be at a comparable level and directly related to the duties of this position.
Preferred Education and Experience:
-Degree in a relevant field -Experience supporting a senior administrator -Professional experience in a higher education or research oriented setting -Experience interacting regularly with internal and external executive level staff -Experience working with confidential material on a daily basis -Experience coordinating projects
