Reporting to the Senior Director for Alumni Relations, the Administrative Assistant will provide administrative and secretarial support to the Regional and Shared Interest Group team for Columbia University's Alumni Relations.
In collaboration with other administrative support personnel, this individual will assist in managing and maintaining an extensive calendar of alumni activities and provide direct administrative support to several officers who work with the regional alumni clubs, shared interest groups, Arts Access, and other alumni relations programs. The Assistant will also help provide phone support for the office's alumni relations inquiry lines, help manage office mail, manage and maintain email databases, and assist in the effort to keep the alumni contact database current. In addition, the incumbent will coordinate and follow-up on all related departmental event related arrangements as directed, including logistical details, assistance with financial transactions, internal and alumni related expense reimbursements, help track and facilitate financial transaction process and expense and budget related account reconciliation. This individual will also be responsible for the preparation and distribution of event and internal reporting materials as assigned, as well as perform other related duties and projects as assigned.
High school diploma or its equivalent required. Minimum of three years' related experience required.
Bachelor's degree preferred. Knowledge of the Advance database application and proficiency in Microsoft Word, Mail Merge, Excel and Gmail preferred.
Must be detail oriented, use excellent independent judgment and initiative, and have a proactive customer service attitude when interacting with alumni and other constituencies. The incumbent must have the ability to relate well to all levels of University personnel. Strong interpersonal, organizational and computer skills, including web-based applications required. Excellent written and verbal communication skills are essential. Sophisticated discretion in the handling of confidential information required. Ability to work independently and with changing priorities required.
