Responsible for supporting the Assistant Director, Graduate & Professional Business Education in the operations of the FSB graduate and professional programs.
Schedule: Monday - Friday 9am - 6pm *available to work some evenings for events as needed
RESPONSIBILITIES (Pertains to both MBA and BBA programs unless otherwise noted)
“Face of the MBA program” at Mission Valley campus to all MBA students and faculty. Provide friendly assistance to students and faculty if needs arise.
Monitor course progress of new & current students in online & hybrid classes, providing reports and data to Assistant Director and Associate Deans as needed.
Ensure student engagement
Ensure faculty engagement
Assist with video production for class content
Technical support as needed for faculty and students
Schedule course review meetings as needed
Support the Assistant Director and Associate Deans in the maintenance of records, manuals and documents, and provide research support.
Assist with planning, logistics, and publicity for business workshops offered to students, alumni, and general public.
Assist with assessment activities.
Assist with billing, invoices, internal transfers, and student receipts for events and programs, keeping expenditures within budgetary allocation.
Assist with extracurricular, program and alumni activities (e.g. local corporate visits, networking events [EDE], Commencement events, International and/or Regional trips).
Assist with maintaining accurate records for faculty committees.
Provide support for the Alumni Board communications, meetings and record keeping.
Support Assistant Director with logistical planning and organization of courses and meetings held at all campuses.
Review and edit PLNU catalog and PLNU websites.
Assist with coordinating scholarship submissions and committee meetings.
Draft and send communications to alumni and students via email and Mailchimp campaigns.
Assist with the coordination of, and attend, info sessions.
Attend New Student Orientations and provide planning and logistical support for onboarding new students.
Manage online communication platforms including social media (e.g., LinkedIn, Facebook) and hosted websites.
Coordinate pricing, artwork design, and ordering logistics for all program related merchandise for sale in online store. Manage inventory and track sales.
Coordinate pricing, artwork design, and ordering logistics for all products associated with MBA course fees (ie: padfolios, name badges, business cards).
Maintain the MBA Suite in Mission Valley:
Provide adequate staff coverage
Provide general maintenance of MBA Suite (submit maintenance and IT requests, manage equipment: phones, TVs, classroom computer, desks, tables, keep supplies and refreshments stocked, make sure suite remains orderly, etc.)
Other duties as required.
2-5 years of administrative experience, including core competencies with Google Suite applications; Word, Excel and PowerPoint preferred.
Undergraduate degree required.
Excellent writing and communications skills. Ability to compose correspondence using correct English, spelling, grammar, punctuation, syntax, format and etiquette.
Experience working with diverse populations.
A positive, cheerful attitude and professional work ethic. Strong interpersonal and customer service skills. Team player, willingness to “roll up sleeves” and contribute to a variety of projects and tasks.
Accuracy and a strong attention to detail.
Ability to multitask and work in an environment of frequent interruptions.
Ability to work proactively and independently, asking for direction when needed. Excellent time management skills. Ability to work through projects until completion, providing feedback and communication with Assistant Director and Associate Deans as appropriate.
Social media skills preferred.
Graphic design skills a plus.
Understanding of and commitment to the spiritual mission of the university.
Ability to travel between multiple educational sites.
Ability to work 9am-6pm Mon-Fri, with availability in the evenings as needed.
PHYSICAL REQUIREMENTS The work is primarily sedentary and may require sitting for extended periods of time. Use of computer equipment: computer keyboard, mouse, and monitor. Vision to read documents, e-mail and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Will also stand, stoop, push, pull, and lift up to 10 lbs throughout the day.
