Provide administrative support for the chair, faculty staff, and students of the Department of Biomedical Sciences.
Duties and Responsibilities:
1.Customer service/office coverage. Serve as the primary point of contact for the BISC department with students, faculty, staff, and the general public. Receive, answer, and direct general inquiries. Oversee and coordinate the day-to-day operations of the main office. Hire and manage student office assistants. Receive and manage student forms. Distribute graduation tickets. Serve as liaison with other campus units. Receive and distribute deliveries and mail. Coordinate departmental social and business-related functions-including setup/cleanup. Inspect departmental common space and work with facilities to resolve/address maintenance issues. 2.Faculty assistance. Send announcements to faculty, staff, and students as needed. Assist with scheduling of departmental meetings and manage departmental room reservations, including conference rooms and teaching laboratories, via online calendars. 3.Purchasing. Generate requisitions for supplies required by departmental faculty and staff, animal orders, and main office supplies. Procure meals and refreshments for departmental events via delivery or off campus trips. Back-up business operations supervisor, as needed. 4.Assist with course and program administration. Copy/print exams and course materials. Assist with course assessment, the administration of BISC 1001 course, including management of attendance and grade assignments, and the grading of scholarship exams. Monitor class sizes and generate permission numbers during enrollment. Download course syllabi for curriculum committee. Process student access to D2L. Process adjunct instructor and graduate student FERPA introductions and paperwork. 5.Coordinate programmatic activities with the College of Health Sciences office. Provide support to spring high school gross anatomy tours-answer phone inquiries, direct arriving schools, coordinate with program presenters, and locate available classroom space for lectures. Assist as needed with Summer Research Program (SRP) and Integrative Neuroscience Research Center programming. 6.Administrative support of Department Chair. Assist with the calendar management, meetings, and travel arrangements of the BISC Department Chair. 7.Departmental student job processing. Create new job descriptions, add/remove student employees, and establish pay rates based on supervisor requirements. 8.Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills, and Abilities:
High school diploma
Two years related experience required
Excellent customer service, organizational, and verbal and written communication skills
Ability to independently multitask and prioritize a heavy daily workload while exhibiting discretion, flexibility, and a courteous demeanor
General computer/internet competency, especially with the Microsoft Office suite/365
Preferred Knowledge, Skills, and Abilities:
Working knowledge of the functionality of office and large format printers and basic A/V equipment
