The Department of Anesthesiology employs over 200 academic and staff personnel and has an annual operating budget of $83 million in (School of Medicine and CPO) resources between Practice Plan Revenues, VAMC funding, Hospital and Medical Group Funding, UC Foundation, Research Sources and School of Medicine Funds. There are over 85 clinical faculty, 20 Ph.D. faculty, 8 Postdoctoral Scholars, 42 residents, 16 Clinical fellows, 33 Certified Nurse Anesthetists, 1 Physician Assistant, 1 Nurse Practitioner and five bargaining units represented.
The Department provides Clinical Anesthesia, Critical Care and Pain Services at Hillcrest, Thornton, Shiley, Children's, Jacob's Medical Center and the VAMC. The Department operates a Pain Clinic at Perlman. The Department's research programs include bench and clinical research programs located at the VAMC, MTF, CTF, BSB, Hillcrest, Thornton, Sanford Consortium for Regenerative Medicine and the Altman CTRI.
This position provides executive-level administrative support to UC San Diego, Department of Anesthesiology (Pain and Regional) Research Faculty in the CTF Building in Hillcrest. Coordinates various aspects of contracts and grants development and submission including Biosketch and graphs. Serves as the liaison between the Principal Investigator, Co-Investigators, and Collaborators, as well as various institutional regulatory offices regarding human subject protocols, ensuring that the information is complete, accurate and timely to meet the required deadlines.
Compiles and processes all needed materials for grant submissions, functions as liaison between office and Anesthesia Contract and Grant Analyst regarding procedures and submission requirements for proposals. Establishes and maintains files on award information for grant proposals. Provides administrative support to Faculty which encompasses complex calendar management and scheduling, word processing, spreadsheet development and maintenance, and general office management. Prepares technical material such as manuscripts, abstracts, and reviews for scientific journals, scientific presentations at lectures and at national meetings.
Assists in the application of graphs, tables and other scientific data using slides, charts and other electronic media on the computer to apply to manuscripts and grants. Prepares research protocols and Human Subjects Committee application forms for new protocols and for the renewal or modification of existing protocols. Makes domestic and international travel arrangements through the UC Travel portal for faculty, researchers and visiting faculty. Assist (Regional and Pain) faculty and research staff with academic review files; maintaining current electronic curricula vitae, bibliography and course review materials. Orders supplies and equipment for the office and research programs.
Functions as liaison with faculty members and their research groups, visiting scholars, the Anesthesiology business and human resources office and other on and off-campus organizations in matters concerning contracts and grants, employment, travel, payment authorization, shipping, Marketplace, reimbursements, audiovisual equipment, visas, housing, catering, and facilities. Compose routine correspondence, triage phone calls, and perform library searches for scientific/medical journals. Prepare meeting agendas and transcribe meeting minutes and distribute in a timely and efficient manner. Back up to the Pain Executive Assistant. In her absence, attends Pain faculty and Pain Consortium meeting and transcribes and disseminate minutes in a timely and efficient manner. Uses financial link and pulls up summaries, when requested. Performs other duties as required.
Extensive administrative experience, providing support for faculty and researchers. Ability to present a positive impression while interacting professionally with a diverse population (e.g. faculty, staff, students, industry representatives, etc.).
Skilled in listening, anticipating, and responding to the needs of customers to achieve excellent customer service measured by outcomes rather than activities.
Proven experience managing complex calendars, domestic and international travel arrangements, and planning meetings and conferences (both on and off site). Coordination skills, with experience preparing travel arrangements and processing reimbursements.
