This position provides administrative support to the Human Resources and Finance functions within Harvard Athletics. This person handles transactional aspects of local human resources administration, including onboarding/offboarding of staff, executing changes to employee records, and maintaining employee files and records. This person also serves as the "go-to" person for employee reimbursements.
Specific duties include:
Supporting the recruitment process by hiring part-time workers, coordinating background checks, assisting with the preparation of offer letters, and posting job advertisements.
Supporting the onboarding of new employees by providing basic benefits information and facilitating set-up of Harvard Key, email, ID cards, parking passes and other essential information;
Inputting new hires, employee terminations and employee data changes into HRIS;
Maintaining staffing databases and tracking term appointments;
Helping to maintain employee personnel files;
Reviewing and approving reimbursements using the University's Concur system to ensure that Athletics employees are accurately reimbursed for eligible business expenses in a timely manner;
Coding and entering approved invoices and reimbursements into the accounting system;
Helping to process invoices to ensure that vendors are paid accurately and in a timely manner; and
Handling filing, compiling spreadsheets, scanning documents; and various data entry projects.

At least 2 years' experience working in a business office or educational setting.
Bachelor's degree is highly desirable, particularly in Accounting, Business Administration, Human Resources management, or related field. Experience in Accounting, HR or related business field is highly desirable.
Must have strong attention to detail; follow-up skills; organizational skills; and the ability to handle competing and shifting priorities as well as constant interruptions. Must have ability to handle confidential information with discretion. Should be comfortable analyzing and recommending improvements to processes and procedures. Should be able to work with minimal supervision.
Proficiency in Microsoft Word and Excel required. Ability to learn quickly new web- and computer-based software and applications is needed. Experience with Oracle and PeopleSoft is preferred.
This is a full-time position - regular hours will be 40 per workweek. At peak periods, including summer, overtime may be required.
