Department: Alumni Relations & Development Salary/Grade: NEX/11
The Program Assistant 3 coordinates all processes and supporting materials associated with the management and administration of the undergraduate Reunion program. This includes significant data analysis, report creation and management, and database administration. In addition, this position provides front line customer service to a significant alumni cohort that includes trustees, major gift donors, and other VIPs. Acts as a resource to the team to maintain calendars, expense reports, and other ongoing administrative tasks. Liaisons with other departments to ensure consistency and integrity in processes and supporting tools.
Documents & Databases
Creates and maintains standard spreadsheets and/or databases.
Prepares queries, reports, statistics, tables, charts, etc. based on information compiled from various sources.
Provides analysis and data segmentation tied to committee research and recruitment.
Creates dashboards to track major program metrics against historical markers and projected goals.
Coordinates alumni facing materials as needed including donor honor roll lists, committee lists, and reunion RSVPS.
Verifies appropriateness and accuracy of charges.
Processes and reconciles expenses, accounting transfers, and/or appropriation changes.
Creates registrant profiles.
Provides support to class liaisons in preparation for alumni visits or trips.
Screens and prioritizes incoming calls.
Responds to inquiries.
Provides basic interpretation of policies and procedures.
Researches information to resolve problems or issues.
Performs other duties as assigned.
A high school diploma or its equivalent along with 4 years of administrative support experience is required.
Minimum Competencies: (Skills, knowledge, and abilities.)
Intermediate knowledge of word processing, spreadsheet, email, and database software programs is required.
Preferred Qualifications: (Education and experience)
Proficient in intermediate excel skills including the creation of macros, use of formulas, and chart/graph features.
