The primary functions of this position include project management, operations and public contact. As the first point of contact for all visitors and calls to the office, this executive assistant is the face of the office. This requires exceptional customer service skills and a unique personality. Tasks vary from answering phones, greeting guests and ordering supplies to project planning and management, assessing needs for project workflow, organizing large meetings, and developing databases and reports. There will be tasks related to expense reports, expense justifications, and inventory. The Chancellor’s assistant and Chief of Staff will request review of mail and email for the purpose of composing a response, forwarding to appropriate parties, proofreading and creating presentations. The department has three visitor spaces and a conference room that are scheduled by this person.
Education and Experience:
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
This candidate must possess the ability to control and work in a high traffic area while multitasking. They must be able to make decisions on how best to handle calls and difficult callers/visitors. This position handles highly confidential information. They must also be able to work with all levels of administration, management and leadership.
The candidate must possess a working knowledge of Microsoft Office (Excel, Adobe, Outlook and Powerpoint).
An understanding of higher education administration and current events. The candidate who possess a working knowledge of UNC-Chapel Hill or the UNC system would have an advantage.
