Rutgers, The State University of New Jersey, is seeking an Administrative Coordinator for the Division of Institutional Planning & Operations (IP&O). This position is under the direction of the Assistant Vice President of Planning and Development and the Manager of Real Estate. The Administrative Coordinator effectively communicates and liaisons with Office of General Counsel and Risk Management, municipal tax and assessment officials, and other parties customarily involved with real estate transactions.
Among the key duties of this position are the following:
Responsible for administrative support for Planning and Development and the Real Estate Administration Office, including, but not limited to the following: general administrative support,meeting coordination, and travel arrangements.
Reviews and performs abstracts of all lease agreements and enters critical data into university databases.
Provides reports and financial accounting documents pertaining to lease and property expenses, including rents, and real estate taxes; responds to inquiries and resolves issues with occupants specific to leased sites.
Manages database input and management.
Oversees payment of property taxes and rents; invoice processing; and time keeping for Planning and Development staff.
Minimum Education and Experience:
Bachelor’s degree in business administration or related field. An equivalent combination of education and experience may be substituted for the degree.
Plus a minimum of two (2) years experience working with real estate issues and documents and knowledge of real estate property transactions, lease and contract drafting necessary.
Required Knowledge, Skills, and Abilities:
Excellent organizational, written and verbal communication skills
Strong computers skills
Ability to handle multiple priorities and meet deadlines
Ability to handle sensitive and confidential information
Must possess and maintain a valid driver's license and be willing to travel, when necessary, to sites throughout New Jersey for business demands.
Paralegal certification is desired.
Prefers three (3) to five (5) years experience working with real estate issues and documents and knowledge of real estate property transactions, lease and contract drafting.
Requires excellent skills with all Microsoft Office applications, including Excel.
Physical Demands and Work Environment:
Ability to sit for long hours at a desk reviewing and drafting lengthly legal documents; concentrate for long periods of time; and needs to be able to work on several different matters on a daily basis.
Minor travel may be required on occasions
