The Research Assistant 2 - Recruitment and Development Coordinator is responsible for recruitment, development, and educational research activities related to patients on clinical trials for the Women\u2019s Health Research Unit (WHRU). The position is responsible for recruitment, phone screening, scheduling of research patients and social networking; as well as coordination of outreach and development activities for WHRU. The appointee shall provide services as assigned by WHRU Leadership in furtherance of the university\u2019s missions and goals of teaching, research, patient care, outreach and public service. Will participate in outreach events which could occur during the evening or on weekends.
Key duties and responsibilities:
Recruitment and Scheduling Coordination:
Assist primary coordinator with, or, screen and recruit subjects over the phone and in-person for research studies. Maintain screening and enrollment logs with recruitment outcomes. Assist with additional recruitment activities such as creating recruitment materials and posting advertisements.
Maintain WHRU patient calendar and schedule patient appointments in Epic scheduling system.
Call patients to educate on protocol requirements, including visit reminder calls or emails to ensure compliance with study.
Assist in collecting patient source documents from OHSU and other medical institutions including medical records and lab reports. Record clinical information into appropriate research documents as requested, and keeps accurate records.
Prepare study visit packets, if applicable.
Prepare and send out letters and visit packets for specific studies. This includes, but not limited to making labels, stuffing envelopes and coordinating with mail office for pre-paid postage.
Assist in the development, design, coordination, and implementation of creative methods to recruit and retain study participants.
Collaborate with WHRU Leadership to evaluate and correct issues adversely affecting compliance and the quality of services provided to faculty, sponsors, and study participants; identify weaknesses and/or problems in the administrative procedures and seek resolution through system or resource support; develop and maintain continuous quality improvement plans as well as the policies and procedures of clinical research within WHRU.
Outreach and Development
Function as support contact for WHRU Leadership, research faculty, staff, and assigned departmental faculty.
Work with clinical research leadership to lead promotional activities for clinical research within WHRU.
Market services to faculty, sponsors, and researchers in OBGYN and other departments at OHSU.
Develop relationships with PIs, as well as other internal departments and external agencies to support the research mission of OHSU.
Coordinate the maintenance of the WHRU clinical research website content and ensure necessary updates.
In collaboration with WHRU Administrative Assistant, will coordinate research conferences, retreats, reviews, luncheons, dinner parties, meetings and other large functions, which may include arranging reservations, catering services, invitations and rsvps.
Responsible for creating, providing, and maintaining content for social network sites, internal and external blogs, internet and radio advertising campaigns, general newsletters, and other communications related to the Women\u2019s Health Research Unit as advised by WHRU Leadership.
Present at combined entity or department level meetings or training sessions.
Primarily responsible, as instructed by WHRU Leadership, to participate in outreach related activities at OHSU and within the Portland metro community to support further awareness of the WHRU and study participation.
In collaboration with WHRU Administrative Assistant , will coordinate Women\u2019s Health Research Unit Annual Research Retreat.
Serve as back up to the WHRU Administrative Assistant to provide support for the WHRU Leadership Team with administrative needs.
May participate in development/coordination of periodic retreats/in-service programs in collaboration with WHRU Leadership and Administrative Assistant with the purpose of promoting team participation and skill development.
Support and promote exceptional customer service to all Department and Center for Women\u2019s Health faculty and staff.
Create PowerPoint presentations, handouts and burning CDs for presentations.
Assist the Vice Chair of Research and WHRU Leadership Team with special projects related to marketing, outreach, development, and/or philanthropy.
Demonstrate initiative to begin projects without prompts and follow through to completion by due dates.
May be required to have Pcard, place expenses on card, reconcile monthly, resolve problems related to expenses.
Provide basic research coordination assistance to primary study coordinators as needed.
Ensure that all clinical activities are carried out in accordance with established research protocol and standards and in compliance with all applicable laws, regulations, policies, and procedural requirements.
Assist with special projects and perform other duties as assigned.
Input study patient information and data points into study database (Excel, SPSS, REDCap, etc) as directed.
