This position’s primary responsibility is to provide secretarial support to the Executive Director of Extended Learning. The role is responsible for performing a wide range of confidential secretarial duties including answering phones, calendaring, correspondence, filing, mail processing, budget reconciliation, records retention, minutes, and ordering supplies. Work performed is specifically related to the University Centers operations, center budgets and their relationship to other academic and non-academic support units throughout the university.
This position interacts with students, staff, faculty, and the general public on a daily basis to provide general information about the University Centers programs, activities, and services. Will also include contact with high level individuals at other institutions and the business community.
Increasingly responsible secretarial experience such as fiscal analysis, office management, and clerical support
Experience working with budgets performing such functions as budget projections, generating reports, balancing multiple budgets, reviewing expenditures, recognizing inconsistencies, and initiating budget transfers
Experience or training that demonstrates the ability to use Word, Excel, email, relational databases, statistical or graphic applications to produce written correspondence, create/edit documents, create/edit spreadsheets, receive and respond to email inquiries, tasks, use electronic calendars, manipulate and/or format data and/or reports
Excellent grammar, punctuation, composition, spelling and math to write and prepare reports and verbal communication skills to give presentations
Customer service experience including the responsibility to listen to customer, identify issues, provide options, fulfill services, exercise knowledge of procedures to assist others and resolve complaints or conflicts
OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position
