The Executive Administrative Assistant to the CIO/AVP in the Office of Technology Services (OTS) will think proactively and provide high-quality administrative support such as answering and directing phone calls, greeting visitors, opening and distributing correspondence, planning meetings, prioritizing work and ordering office supplies. Maintain knowledge of OTS services and project a professional and positive image of a dynamic department. Higher-level duties include: project assistance, communications, and onboarding and off-boarding departmental employees. Also provides support to the OTS Leadership Team.
Oversee CIO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Makes arrangements and coordinates all details for meetings. Answers and directs incoming calls, greets visitors, opens and distributes mail. Interacts with students, executive staff, and colleagues. Review, proofread, and format outgoing correspondence.
Manage office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies. Tracks all procurement card purchases for compliance and use within TU guidelines
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks. Responsible for ensuring departmental conference rooms are operational and orderly. Create and send departmental announcements. Ensure proper onboarding of new OTS employees utilizing prepared checklist.
Anticipate supervisor’s course of action when absent and facilitate problem resolution. Ensure confidentiality of information. Researches, analyzes and summarizes information, and source materials for reports independently and communicates findings verbally and in writing. Acts as departmental key coordinator to issue and collect keys and maintain records for all keys issued to OTS employees. Serves as liaison with the University’s Access Control unit.
High School Diploma or equivalent and four years of experience providing administrative support. Ability to work independently and be self-motivated. Ability to set priorities and utilize appropriate software packages to accomplish work assignments in the most efficient and effective manner. Ability to compose routine correspondence and reply to electronic inquiries. Excellent organizational skills
Preferences: Higher education experience, work in large, fast-paced, innovative environment
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
A Criminal Background Investigation is required for the hired candidate and the results may impact employment.
Salary and Benefits
