The Contract Administrator II administers and monitors all aspects of contractual agreements which are established by the strategic sourcing team for the products available through Spartan Marketplace. This includes ensuring terms of the contract are properly executed, monitoring supplier performance and compliance, analyzing and interpreting contract content, and maintaining digital contract files.
In partnership with a senior purchasing agent, this position manages the contract lifecycle including procurement of commodities and services of high complexity; supplier selection; and contract negotiation, execution, and monitoring. The Contract Administrator II analyzes spend in key commodity areas to ensure high volume items are on contract, conducts quarterly price audits for all Marketplace suppliers, seeks ways to optimize contracts, and identifies new strategic contract opportunities.
This role educates and promotes use of established contracts to campus customers to leverage university spend and provide best value. The Contract Administrator II designs and conducts Spartan Marketplace user training classes and manages the Marketplace helpdesk. Additionally, this position oversees the supplier enablement process in the e-procurement system, leads supplier performance reviews, and interacts with the accounts payable/invoice audit unit to consult and resolve invoice discrepancies.
Communications are frequent with faculty and staff to provide product knowledge, sourcing options, and system user information. This position actively promotes the Purchasing Department business inclusion and sustainability programs. The strategic sourcing team is one of four teams reporting to the Assistant Director University Services-Procurement.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which would be acquired by completing a four-year college degree program in supply chain management, business, materials management, general business, or a related field; three to five years of related and progressively more responsible or expansive work experience in purchasing commodities or managing procurement contracts; or an equivalent combination of education and experience.
Knowledge of procurement contracts and compliance management; strong analytical and organizational skills to evaluate contract performance; excellent communication and interpersonal skills to facilitate client service relationships, conduct meetings, and design/deliver training experiences. A self-starter who works independently and as a team member, with commitment to accuracy and attention to detail. Competitive candidates will demonstrate breadth in their supply chain knowledge. Professional certification as a CPM, CPSM, CSM, or CPPO.
