Establishes and maintains graduate student filing system (electronic and hard copy) for use of graduate director and faculty or other administrative units as appropriate; the successful candidate is responsible for keeping current graduate student summary in spreadsheets and multiple databases; prepares RAF forms and facilitates admissions process by processing admissions related documents in hard copy form and within GAMS; prepares graduate assistantship appointment forms using GRS, TA and RA offer letters, Process HR and I-9 forms, pay rate changes, cost redistributions; enters administrative action forms on registrar's Web site; involves use of SIS (Student Information System), GradInfo, Graduate Reporting System, and the department's graduate student database; processes drops and adds, overrides, grade changes, and enrollment corrections; process travel funding and reimbursements for graduate students; schedules all graduate oral examinations and prepares the appropriate forms on computer database for the professor's signatures and distributes to the appropriate departments; prepares qualifier examination (copying/sorting packet); helps oversee various graduate student evaluation processes such as annual student evaluation, completion of annual responsible conduct of research training, and teaching assistant reviews using a variety of university databases; works independently and completes work with frequent interruptions.
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in maintaining accounting ledgers and/or experience in word processing, spreadsheet, database, and/or desktop publishing software. The job may require knowledge of presentation and web page software and technical or medical terminology and/or technical training related to the field of employment; or an equivalent combination of education and experience.
Experience in a university academic unit; proficient in Microsoft Office and Excel and university information systems including, but not limited to, EBS, SAP, SIS (Student Information System), GradInfo, and the Graduate Reporting System; ability to create/produce documents and reports with few errors; ability to merge letters, maintain spreadsheets, and update databases; ability to provide reports using available software and multiple databases maintained by the Graduate School, the College of Engineering, and the Department of Computer Science; outstanding customer service skills and ability to maintain highest levels of confidentially and sensitivity with respect to personnel issues; excellent organizational skills; ability to prioritize and work independently; ability to anticipate possible issues and organize work accordingly; ability to work effectively under pressure; familiarity with University Travel policies and procedures.
