Georgetown University's University Information Services (UIS ) is seeking an Administrative Assistant to provide primary administrative support to the department. Major responsibilities include:
Acting as the initial contact person for all inquiries for Information Services and visitors.
Responsible for conference planning, travel arrangements, and training registration for all UIS staff.
Oversees the control, ordering, and distribution of supplies and mail to all areas of the UIS department.
Manages the resolution of building maintenance issues, including keys, hygiene, heat, light, and water.
Assists with a broad array of general administrative duties including the scheduling of conference rooms, hand delivering of urgent documents to the appropriate offices/individuals.
Serves as a reconciler for ProCard statement.
Obtains & reviews competitive vendor quotes for office furniture/supplies, facilities requests and catering.
Responsible for processes SUAs (Sponsored University Affiliate) for all UIS consultants, contractors, or volunteers in order to obtain a GU netid.
A High School Diploma or GED required.
Five (5) years of demonstrated office management experience.
Ability to type 60 WPM.
Must have extensive knowledge of Microsoft Office (Word, Excel, Access, and PowerPoint).
Excellent verbal and written communication skills.
Ability to organize and manage multiple projects, and tasks simultaneously (including tracking and coordinating activities, setting, and adhering to deadlines).
Demonstrated interpersonal skills, along with a proven ability to work independently and under pressure.
Ability to work comfortably and collaboratively with both senior executive professionals and support staff and be part of teams.
Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Business school, Associate's degree or equivalent is a plus.
Experience with databases and spreadsheets
