The University of Tennessee Foundation is seeking a Advancement Assistant. Reporting to the Director of Alumni Chapters and the Director of Alumni Student Recruitment and Scholarships, the Advancement Assistant is responsible for overseeing and completing all administrative support of the UT Knoxville Chapter Program, Director of Alumni Student Recruitment and Scholarships, Director of Alumni Chapters, Assistant Director of Alumni Chapters and UT alumni staff as it relates to Chapter programming.
The Advancement Assistant will track the program budget; assist with the process of awarding alumni chapter scholarships, preparing meetings, assisting with all aspects of event planning and management, completing travel authorizations and reimbursements, and assisting with all other special projects or duties as assigned.
This position will assist with planning the Chapter Leaders workshop and Volunteer Leadership Weekend, prepare Chapter Information Manuals, create reports as requested using the ANDI database, process Chapter staff travel and petty cash reimbursements, print/prepare chapter budget ledgers, worksheets, and track and maintain backup documentation files.
This position will also assist the Assistant Director of Alumni Chapters with all email communications for the alumni chapter program through Imodules. Responsibilities include:
Coordinate and schedule chapter event announcement distribution
Create layout and proof of chapter event publicity items (email)
Serve as the primary liaison with Alumni Communications staff on layout and proof of chapter event publicity items (email newsletters and other communications pieces)
Update alumni website with chapter event information, chapter program information, and individual chapters information
Maintain a record of all chapter events and attendance numbers (provided by the chapter leaders)
Provide support and counsel to alumni chapter leaders on individual chapters' social media pages and content
Manage and maintain inventory and send supplies for chapter events
