The Executive Assistant is responsible for all facets of office administration and ensuring a seamless operation of office functions. The Executive Assistant provides daily support to one of the largest professional units and interacts with senior officers of the University, as well as faculty, staff, students and other stakeholders.
REPORTS TO: Chief Information Officer
RESPONSIBILITIES & DUTIES:
Function as a confidential employee and provide executive support to the CIO.
Maintain calendar and coordinate meetings for CIO and IT Directors.
Work with Administrative Coordinator to arrange travel and training itineraries for all staff.
Compose, organize and maintain correspondence, records and communications.
Oversee student payroll and staff pay time off via CLASS and SAAS.
Take and transcribe meeting minutes of major committee meetings including Board of Trustees.
Coordinate office functions with IT managers to ensure seamless office operations.
Screen telephone calls for CIO and IT Leadership Team and greet visitors.
Organize and supervise office activities to enhance team synergy.
Help promote a departmental culture that encourages top performance and high morale.
Maintain safe and healthy work environment by establishing, following and enforcing standards and procedures; complying with legal regulations.
Analyze process workflow, space requirements and equipment layout; implement changes.
Work with the Director of IT Operations and Budget Planning on developing, implementing and reviewing IT operation policies and procedures.
Communicate all operating policies and/or issues to at department meetings.
Supervise and mentor student employees.
Perform other job related duties as assigned by the CIO.
Ability to handle multiple tasks effectively and accurately.
Proficient with Microsoft Office products (Access, Word, and Excel).
Proficient with Google Suite products.
Ability to be discrete and maintain high confidentiality on a wide range of issues.
Good understanding of computer terminologies and university policies and procedures.

Assist the CIO in all BOT meetings, which may include a weekend.
Bachelor's degree or equivalent work experience is preferred.
Minimum three years' of administrative or secretarial experience working in a large office is required.
