Position Summary: The Secretary will support the administrative needs of the Career Center. The Secretary is front facing to all students, guests, faculty and staff, and as such, must be able to communicate in a highly professional manner, both verbally and written. The Career Center services all undergraduate students, graduate students, and alumni. The Secretary will take direction from the Career Center Coordinator and ultimately, the Executive Director.
The ideal candidate would be looking to pursue a career in student affairs, academic affairs, Human Resources, recruiting or higher education.
Answer front desk phone and direct calls to appropriate personnel; Screen telephone calls and determines which can be handled by the Supervisors subordinates, other offices or by the secretary rather than the Supervisor
Compose and type varied correspondence of a complicated nature requiring through knowledge of the operations and policies of the office, department and university on a regular basis
Respond to students queries and direct them to appropriate resources
Assist students in scheduling appointments with career coaches
Order supplies and keep both pantry and office cabinets stocked with necessities
Collect and route incoming mail
Compile and assist in compiling periodic reports on the basis of general instruction
Deal directly with individuals and groups, both internal and external to the university, exercising in department judgment on non-routine matters requiring knowledge and interpretation of policy, under limited supervision
Use judgment and initiative in performing varied clerical and secretarial duties requiring a knowledge and understanding of the organization, programs and procedures related to the work of the Supervisor
Make any arrangements necessary in connection with scheduled meetings, ex: travel arrangements, room scheduling, hotel accommodations, ordering audio/visual equipment and ordering food
Take minutes at meetings
Assemble necessary background material for scheduled meetings
Prepare and type standard forms, ex: purchase orders, petty cash vouchers, payroll memos, reimbursement forms for business expenses and position requisition forms
Assemble data for grant applications and budgets
Type grant applications and budgets from compiled data
Monitor budget balances and alerts the Supervisor to potential shortages and overages
Monitor social media accounts and posts accordingly
Perform other related duties as assigned
Experience & Educational Background:
High school graduate, some college preferred
Minimum four years secretarial experience
Two to three years of experience in a support role to a busy department
Database management experience a plus
Skills & Competencies:
Strong verbal communication skills; able to interact with many different levels of constituents both internal and external to the University on the phone and in person
Professional demeanor and presence; Career Center is an office permeating professionalism
Record of impeccable attendance with former roles; students and staff need consistency
Able to make decisions independently related to administrative responsibilities
Strong written skills with attention to spelling, grammar, and verbiage
