The Wyss Institute for Biologically Inspired Engineering at Harvard University seeks a talented and enthusiastic individual to join our events team as an Events Coordinator. The Events Coordinator will support the planning, coordination, promotion, execution and evaluation of all Institute events including international conferences, workshops, meetings, seminars, retreats, symposia, and social events and activities taking place on and off Institute locations.
More specifically, the Events Coordinator will work closely with the Wyss Institute Faculty and staff to plan, coordinate, and execute events across the Institute. He/she will coordinate event-related plans, timelines and logistics including location details, speaker arrangements, accommodations, on-site staffing, travel, transportation, parking, registration, catering, audio-visual and other technical requirements. He/she will work closely with events teams across Harvard and other Collaborating Institutions to publicize events throughe-mail, printed mailings, posters, ad placement, and/or other appropriate venues, generate mailing lists and invitations to the appropriate event guests and invitees, prepare packets and distributable materials. He/she will also coordinate event set-up and takedown storage. He/she will maintain event budgets set by the Events Manager, reconcile expenses and process reimbursements.Someeveningandweekendworkmayberequiredasdictatedbytheevents'schedules, especially during the fall season.

Three or more years of increasingly responsible experience working in event planning and coordination or related administrative areas is required. Education beyond high school may count toward years of experience. Some evening and weekend work may be required as dictated by the events' schedules.
Bachelor's degree in a related or scientific field or development background is a plus. Outstanding written, oral, and interpersonal skills with a proven ability to effectively interact and develop relationships within a growing and vibrant community are required. Ability to plan and manage multiple projects and individuals simultaneously is a must. Experience with multi-cultural, multi-disciplinary environments is preferred. Exemplary customer service skills are a must, including dealing effectively with the public. Strong organizational skills, creativity, motivation, and communication (oral and written) skills are required. Ability to tackle multiple projects simultaneously in a fast-paced dynamic team environment and meet deadlines are essential. Ability to provide superior client service to all levels of the organization with diplomacy, tact, and confidence is required. Ability to define and implement process and procedures, and to perform independently as well as to collaborate with others is critical. Exceptional attention to detail is a must. Must take initiative and must be detail-oriented. Working knowledge of Microsoft Office Suite. Must be willing to learn new skills and software.
