Office of the Provost - Academic Affairs Other Units, Shared Services Center
The Academic Affairs Other Units, Shared Services Center (AAOU SSC) within the Office of the Provost Provides transactional support to 18+ AAOU departments in the areas of Payroll, Human Resources, Finance and Budgeting.
The Business Services Specialist in the Office of the Provost and The Academic Affairs Other Units Shared Services Center (AAOU SSC) will be primarily responsible for assisting the Associate Provost and the Business Manager to support the day to day financial transactions, reporting, administration and operations of the Provost Office and the AAOU SSC.
The Business Services Specialist will assist the Associate Provost in all aspects of the financial management of the Office of the Provost (40%), and will support the AAOU SSC with assigned finance tasks: journal entries, budgeting, accounts payable, procurement (35%) and payroll and hiring related tasks (20%), as well as administrative duties as assigned (5%). The incumbent will make recommendations to the Associate Provost and Business Manager for any improvements in the business processes related to the Office of the Provost/AAOU SSC. The incumbent will ensure compliance with all institutional and/or external policies or regulations; assist with Academic Affairs Other Units annual budget process; assist with financial goal setting; complete reconciliations of expenditures and revenues; assist with grant financial administration, as needed; assist with business, fiscal, HR and administrative matters; help establish priorities and workflow; coordinate audits; provide excellent customer service; and other duties as assigned.
Required Minimum Qualifications:
Requires a High School Diploma/GED and six years progressively responsible experience in a combination of budgeting, accounting, payroll, purchasing, and personnel work.
Note: A Bachelor's degree in Accounting, Business Administration or related area in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for four years of the required work experience. Education may be substituted for the experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Must have exceptional quality of work, and communication, cooperation, teamwork and customer service skills. The ability to take initiative and contribute to overall process improvements required. Excellent written and verbal communication, analytical and critical thinking skills are essential.
5 to 7 years of professional experience in a complex operating environment, including experience in the areas of finance, accounting, administration, operations and team leadership.
Higher Education or non-profit experience.
Experience with PeopleSoft financial management, procurement and HRMS.
