This Administrative Associate II will be responsible for:
Provides administrative support for Dr. Daniel Kohane, the Director of the Kohane Lab. Duties involve calendar management, scheduling appointments, reserving meeting locations, preparing travel arrangements and recording meeting minutes
Serves as the initial point of contact for the Kohane Research Lab. Duties include answering, screening and routing telephone calls and greeting/directing visitors and staff
Responsible for organizing lab events and social activities, such as the annual lab holiday party, celebrations for promotions, acceptances, and lab personnel departures/arrivals
Updates and maintains lab website (adding new publications, new personnel, news events, lab events)
Assist with on-boarding and off-boarding procedures for arriving/ departing lab personnel
Transcribes correspondence, manuscripts and other materials involving scientific and/or technical writing. Proofreads and edits materials for grammar, punctuation and spelling
Monitors and maintains office equipment and supply inventory. Receives and reconciles supply orders and invoices, identifying and resolving delays, billing errors or discrepancies
Serves as notary public for the lab. Notarizes, prepares, routes and tracks routine administrative forms and documents.
Coordinates Scientific and Ancillary Review of research and clinical protocols occurring in the Medical Surgical ICU (MSICU); complying with Institutional Review Board (IRB) guidelines and regulations
Organizes and schedules conferences, seminars and other department sponsored programs or events
Assists Critical Care Administrative team and members of management with other projects and tasks as needed
To qualify, you must have:
A high school level of educational development and up to one year of basic secretarial training and six to twelve months of previous experience.
Bachelor's degree preferred.
The analytical skills and judgment to interpret data and take the appropriate action in circumstances or situations vary.
The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
