The Program Associate serves as a member of the Academic Success Center (ASC) team. The Program Associate reports to the Associate Director, and provides high-level administrative support to ASC staff related to academic support programs, and testing/assessment services. The Program Associate offers outstanding customer service, assists with technical and online initiatives, collaborates with students, faculty and professional staff, and works with other departments across campus to promote office programs and projects. This position also provides support as needed for the Educational Opportunity Fund (EOF) program. The Program Associate must demonstrate excellent judgment and discretion, and meet deadlines in a fast-paced, highly dynamic, student-facing office environment.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Supports the administration of academic support programs such as tutorial services, supplemental instruction, learning inventories, academic action and academic development/learning competencies workshops. Organizes and schedules group sessions, workshops, monitor and prepares reports on group/workshop attendance. Assists with development and dissemination of marketing and promotional materials.
Provide assistance with testing/assessment services including proctoring tests, ordering test units, pre and post-test consultation.
Schedules appointments, meetings and other events on a regular basis. Maintains staff and office calendars. Coordinates travel arrangements. Prepares correspondence, meeting minutes, inventories, proposals,, statistical reports and clear, accurate, and informative department reports.
Answers, screens, processes and forwards inquiries via phone and email. Maintains accurate records and tracks student contacts with the office.
Assigns and supervises the work of part time employees and student workers. Verifies qualifications. Prepares and reviews payroll forms, reports, and timesheets. Provides ongoing training on office expectations and policies, as well as payroll procedures, guidelines, and dates for timesheet submission.
Assists with record keeping and maintenance of the web-based tutor-student registration system. Uses Banner and all related technologies utilized by ASC to maintain, extract and compile data. Attends training related to advanced technologies.
Maintains the financial record keeping and tracking system for the office including budgets, encumbrances, expense reimbursements, check requests, online requisitions, travel vouchers, purchase orders and online receiving functions.
Collaborates with other administrative and academic departments to promote partnership.
Participates in University events as needed.
Performs other duties as assigned.

Graduation from an accredited college with a bachelor's degree in a field related to the position, or equivalency, as determined by the appointing authority (additional years of relevant experience may be substituted for education upon the discretion of the hiring manager).
Excellent oral and written communication skills as well as library and internet research skills and superior editing skills.
Advanced proficiency with Microsoft Office Suite.
Ability to learn new software applications and troubleshoot problems.
Strong organizational, problem solving and time management skills.
Careful attention to detail and ability to take initiative.
Ability to multitask, prioritize tasks and meet deadlines.
Ability to work in a fast-paced, demanding work environment that requires a friendly, cooperative spirit and a positive approach to customer service.
Prior experience in higher education or a related field.
