Rutgers, The State University of New Jersey, is seeking a Program Support Specialist, for the Radiation Oncology-Radiation Physics Department in the Rutgers Cancer Institute of New Jersey.
The primary purpose of the Program Support Specialist is to provide administrative support and coordination of assigned faculty in the Medical Physics Division of Radiation Oncology department. Responsible for working with the Program Administrator I to prioritize and execute division functions, including, but not limited to administrative duties, report creation and analysis, grant applications, and fiscal procedures of the division.
Among the key duties of this position are the following:
Provides executive level support for faculty including coordination of calendar, processing correspondence, initiating and/or implementing special projects. Ensures seamless coordination of faculty member's academic and clinical schedules. Oversees the maintenance and organization of the assigned faculty member's calendar, including meetings, conferences and travel arrangements.
Compiles statistics and prepares reports, presentations, and official correspondence on various aspects of the division. Researches and compiles data, performs analyses and submits conclusions and recommendations. Facilitates development of business plans and monthly reporting by assisting with preparation and submission of relevant statistics and data specific to the assigned faculty. Helps analyze statistical, financial and operating reports. Acts as a liaison between the department and CINJ Finance
Processes grant applications in RAPSS as well as other external grant application portals; processes internal grant applications. Assists with preparation and submission of administrative components of grant applications.
Assists with onboarding of new staff and/or faculty in the division, including visa processing.
Acts as a liaison between department and administrative units such as Purchasing, Human Resources, IST, Accounting and Payroll.
Minimum Education and Experience:
Bachelor's Degree in Business Administration or a related field, plus two (2) years of experience in a clinical setting or academic institution.
Equivalent education, experience and/or training may be substituted for the degree requirements.
Required Knowledge, Skills, and Abilities:
Must be dependable, flexible, and people-oriented.
Must have excellent oral and written communication skills and a highly professional demeanor in person and on the telephone.
Effective oral and written communication skills.
Ability to speak effectively before groups of employees of the organization.
Must be computer literate with proficiency in Microsoft Word, Excel, Access and PowerPoint.
Ability to navigate the Internet.
Experience with Varian's Radiation Oncology Aria.
Physical Demands and Work Environment:
PHYSICALDEMANDS: Standing, sitting, walking, talking and hearing. No special vision requirements. Lifting up to 25 lbs.
Must be willing to work additional hours to meet deadlines, as needed.
