The Director, Advancement Gift Services, in partnership with the Director, Reporting and Data Services is responsible for the development, daily operation and maintenance of MarqIt, Marquette's Blackbaud CRM advancement database, and works to ensure overall data integrity in the system and to realize the broadest and highest use of the database by colleagues within University Advancement and across campus. (S)he ensures the timely recording, accuracy and acknowledgment of charitable gifts to the university. The Director, Advancement Gift Services directly assists donors and colleagues with an interior perspective of data, responding to a variety of inquiries and correspondences, often of a time sensitive and complex nature.
Duties and Responsibilities:
Ensures the accuracy and integrity of the database, including data input and output.
Oversees all activity relating to recording, balancing and maintaining the transaction information of gifts, pledges, payments and bequests, as well as the receipting of gifts, reminding of pledge obligations, and performing pledge write-offs (individual or mass), and all gift adjustments.
Manages process and workflow for depositing, recording, maintaining records of and receipting all gift-related transactions, including direct management of staff.
Serves as internal expert in matters relating to the reconciliation of transmittals to the university general ledger. Interact regularly with accounting manager in the office of the Comptroller.
Maintains solid understanding of CASE standards, NCPG reporting guidelines and IRS charitable contribution rules and regulations, including the use of quid pro quo for athletic ticket holders. Stay abreast of emerging trends in the field of philanthropic gift recording, reporting and advancement services.
Generates regular reports to reconcile to the university's financial system, produce error-checking reports, pledge receivable reports, weekly transaction reports. Perform ad hoc report creation and analysis, as needed.
Develops and manages process to reconcile and balance gift transaction batches for submittal of interface file and summary interface reports to the Comptroller's office.
Communicates with University colleagues regarding allocation and handling of gifts, gift-in-kind value, matching gifts, estate gifts, stock gifts, grants, employee payroll deductions and all other gifts to the university.
Makes informed decisions and judgments involving the proper entry, allocation and documentation of university gifts and accurately match pledge payments to the correct pledges.
Performs adjustment transactions, corrections and write-offs to gift records in the MarqIt. Maintain records of all adjustment transactions, corrections and write-offs
Oversees generation of pledge reminders and pledge write-offs.
Assists the Senior Director, Advancement Information Services with quarterly open pledge review and write-offs, including global write-offs for lapsed Phonathon pledges.
Trains and develops skills of the Gift and Data Services teams, including technical skills directly related to the job and leadership skills.
Develops and implements procedures to assure accurate and timely processing of gifts, pledges and payments into the MarqIt database.
Serves as liaison to Finance and the Office of the Comptroller on matters concerning fund/account creation and deactivation and the mid-month and monthly interface with the Office of the Comptroller.
Serves as liaison to Planned Giving, sharing knowledge of general planned giving vehicles and instruments to direct the use of MarqIt for recording planned gifts
Serves as liaison with Annual Giving, collaborating to efficiently process phonathon donations, and serve as AIS lead on the annual Community Campaign initiative.
Manages set up of all new gift accounts in the MarqIt, including new grant accounts and new Community Campaign accounts, which differ from regular gift accounts.
