Advertised Summary Job Description: Reporting to the Chair and working closely with the Director of Academic Administration and Finance (DAAF) of the Department of Ecology, Evolution, and Environmental Biology (DE3B), the incumbent provides discrete and confidential administrative support in developing and implementing academic planning, including but not limited to preparing documents for faculty reviews. The incumbent communicates and acts as liaison with various levels of University administrators and a very wide range of external constituencies and partners. He/she manages an extremely busy calendar, reviews and appropriately handles correspondence directed to the Chair, uses independent judgment and initiative in preparing draft replies to such correspondence, and manages all incoming calls using proper judgment. The incumbent schedules all of the Chair's meetings and manages the Chair's calendar, including scheduling travel and preparing TBERs. The incumbent independently researches, gathers and disseminates information, providing the Chair, the DAAF and related faculty with background information/materials for meetings/events, and other office initiatives. Coordinator generates statistical analysis on admissions trends and stipends and completes surveys from within and outside University. He/She provides assistance to all departmental committees and takes minutes at faculty meetings and distributes the minutes. The incumbent assists the DAAF in all day to day functions of the department as well as special projects. The incumbent works closely with the DAAF in coordinating academic functions such as open-houses, student orientations, undergrad and grad functions and programs. The incumbent assists the DAAF with maintenance of the E3B website. Performs other duties as required
General Minimum Qualifications: Bachelor's degree or equivalent and 2 years of related experience required.
Additional Specific Minimum Qualifications: Excellent communication skills, both verbal and written, required. Strong interpersonal skills and the ability to handle confidential information with excellent judgment and discretion required. Must be detail oriented. Demonstrated ability to work independently, ability to prioritize and manage multiple tasks, and ability to learn University systems. Strong computer skills, including experience with spreadsheets and word processing.
Preferred Qualifications: Experience working in an academic environment preferred. Knowledge of university systems and procedures such as FFE, ARC, and P-Card also preferred.
